Administrative Secretary Testing Center
Alabama State University, Office of Student Affairs and Enrollment Management invites applications for an Administrative Secretary for the Testing and Psychological Services Office. The selected candidate will provide administrative assistance and assist with special projects, office management and administrative procedures and policies.
DUTIES AND RESPONSIBILITIES:
- Maintain the Testing calendar, schedule meetings, coordinate travel arrangements, requisitions, and manage office supplies
- Draft, proofread, and distribute correspondence, reports, and presentations
- Serve as the first point of contact for candidates check-in inquiries, serve as the point of contact for students, faculty, and external candidates directed to the Director office
- Compile factual information form files records, publications and other sources, and tabulates this information in accordance with standardized report form
- Complete reports for testing agencies in accordance with policies and procedures.
- Manage Qualtrics survey platform
- Maintain accurate and current records of departmental purchases, equipment, travel statistical data, daily office activities, daily program activities and appointments
- Establish and maintain accurate and current files of letters, reports, records and other documentary material, and ensure that information in these files is kept confidential
- Receive and place telephone calls, schedule appointments and meetings, make reservations, greet visitors and callers, records messages, and perform the functions of office receptionist
- Help assist with proctoring assessments as needed.
- Train and supervise assigned student workers
- Perform other duties that may be assigned
An Associate degree in Secretarial Science, Office Administration or other appropriate field with one year of administrative or secretarial experience a certificate in Secretarial Science with 2 years of administrative or secretarial experience required. A typing proficiency exam of 40 net words per minute is also required.
Proficiency exams administered by ASU's College of Education, and state Employment Service Centers are accepted. You may contact the College of Education at (334) 229-4314 to schedule an appointment or contact your local Employment Service Center to schedule an appointment.
Proficiency exam results must be submitted to ASU's Office of Human Resources by the testing administrator.
