The Administrative Specialist to the Edwards College of Humanities and Fine Arts will assist with all departmental activities.

Administrative Specialist II (AA50/61122283/ FTE -S01124P), full-time position with benefits. SC State Pay Grade: GEN04. Salary range: $30,700.00 (minimum) – $39,900.00 (midpoint). Normal work hours are Monday through Thursday, 8:00 a.m. to 5:00 p.m. and Friday, 8:00 a.m. to 12:30 p.m. Must be flexible to meet the needs of the university.
Duties
Administrative and Executive Support: Provides day-to-day administrative support to academic leadership, including the Dean, Associate, and Assistant Deans, Administrative Coordinator, Directors, and Program Coordinators. Responsibilities include answering phones, preparing correspondence, reports, memoranda, forms, and official communications using established formats and procedures. The position manages calendars, schedules meetings and appointments, coordinates room reservations, and supports college-wide and unit-level events, conferences, ceremonies, and special programs. The role also involves maintaining official electronic and paper records to ensure accuracy, confidentiality, and compliance with university and state records retention requirements, while serving as a primary point of contact for faculty, staff, students, visitors, and external partners by providing professional customer service and appropriate referrals.
Student and Faculty Services Support: Processes and maintains undergraduate and graduate student academic records, including petitions, registration-related documentation, academic status notifications, and degree-related paperwork, in accordance with established academic and institutional regulations. The position assists students and faculty with academic procedures, deadlines, and required forms, referring complex or policy-based issues to appropriate academic or advising offices as needed. In addition, the role supports academic units and program coordinators by ensuring required documentation, such as syllabi, reports, and forms, is properly submitted, stored, and distributed.
Fiscal, Procurement, and Budget Support: Prepares, processes, and tracks purchase requisitions, purchase orders, travel authorizations, reimbursements, expense settlements, and procurement card transactions in accordance with state procurement laws and university policies. This position monitors unit and program budgets, maintains financial tracking tools, and generates routine budget and expenditure reports for leadership review. The role also coordinates with business manager, finance offices, and vendors to resolve routine purchasing, payment, and documentation issues.
Travel, Event, and Operational Coordination: Coordinates travel arrangements for faculty, staff, students, and external visitors, including itineraries, lodging, transportation, and required approvals, in compliance with established travel policies. The position assists with planning and logistical support for on-campus and off-campus events, meetings, guest visits, and performances, including coordination with catering, facilities, and vendors. In addition, the role supports daily office operations by coordinating facilities and maintenance requests, managing access and keys, arranging equipment service calls, overseeing mail distribution, and maintaining office supply inventories. Also handles space, resource, and vehicle reservations as assigned, including maintaining and coordinating the Edwards College van reservation system in accordance with established procedures and usage guidelines.
Human Resources, Data, and Systems Support: Prepares, routes, and maintains required human resources documentation related to student employees, temporary staff, graduate assistants, and professional service providers. The position assists with recruiting, hiring, onboarding, scheduling, and time approval for student workers under established human resources guidelines and supervisory direction. The role also utilizes university administrative systems and databases to retrieve, update, and maintain academic, personnel, and operational data, and generates routine reports and data summaries to support operational and compliance needs. In addition, provides exceptional customer service to all constituents, including but not limited to, students, parents, faculty, staff, diverse groups/individuals and the general public. Maintain and organize confidential academic and administrative files. Manage electronic and/or paper copies of all forms and records within the Dean’s office.

Knowledge, Skills & Abilities
Knowledge of the principles, policies, and practices of office management. Ability to communicate effectively in writing and orally. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to deal courteously and effectively with the public. Ability to exercise judgement and discretion in interpreting and applying policies and procedures. Excellent computer skills and office software.
