Administrative Specialist I - Facilities Capital Improvements
Job Summary
The Administrative Specialist I position is responsible for providing senior-level clerical, administrative, and project support to their assigned department(s). This position may serve as the primary point of operational and administrative contact for internal and external constituencies, often on complex and confidential issues. This position is expected to have a high level of department-specific knowledge.
Primary Duties and Responsibilities
Essential Performance Requirements
Performs senior-level administrative and technical functions for the unit
Makes technical decisions by applying policies, regulations, and protocol
Organizes unit events
Manages external stakeholders
Performs high-level, unit-specific tasks
Assists with Budget and Grant Management
Schedules appointments and maintains calendars
Prepares and creates memos, emails, invoices, etc.
Performs assigned duties
Service Excellence
Participates on behalf of the College in external community organizations and associations
Attends the workplace regularly, reports to work punctually, and follows a work schedule to keep up with the demands of the worksite
Completes all required training and professional development sessions sponsored through the Tarrant County College (TCC) Institute
Supports the mission, values, goals, and principles of the College
Supervision
Works under minimal supervision of assigned department leadership

Required Minimum Qualifications
Associate's degree or 60 college hours and two (2) years' working experience related to the Essential Performance Requirements; or any equivalent combination of education and work-related experience
Preferred Qualifications
At least one (1) year's working experience working in a college or university setting related to the Essential Performance Requirements
At least one (1) year's working experience using project management software
At least one (1) year's working experience handling and managing numerous transactions within limited timeframes
At least one (1) year's working experience with professional service contracts and/or construction contracts
Knowledge, Skills and Abilities
Working knowledge of Construction and Project Management principles
Knowledge of statutory requirements for public procurement
Skilled in excellent customer service and interpersonal relationships including strong listening, verbal, and written communication
Ability to work effectively in a collaborative environment with cross-functional teams to organize and improve processes and workflows
Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume
Ability to use computer applications and enterprise systems, including proficiency with word processing, spreadsheet, and presentation software

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Work Environment
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee occasionally works near moving mechanical parts and is occasionally exposed to risk of electrical shock. The noise level in the work environment is usually quiet.
