The School of Nursing is seeking to hire an Administrative Specialist (Temp).

KEY DUTIES AND RESPONSIBILITIES:

  • Serves as the primary point of contact for meeting requests and oversight of calendars for the Associate Dean and department chairs.
  • Creates meeting agendas, keeps attendance records, and records minutes.
  • Transcribes and prepares accurate minutes for meetings, ensuring timely distribution and proper documentation.
  • Plans, monitors, and generates special reports, which may involve research and data collection based on specific project requirements.
  • Support grant and report preparation through research, information gathering, and presentation development.
  • Coordinates events for Unit Heads, including Directors Meeting, Advisory Board Meeting, Faculty Meeting, End-of-Year Faculty and Staff Meeting, Clinical Partnership Meetings.
  • Provides administrative support for the Pinning Ceremony, Honors Day, faculty retreats, academic symposiums, and strategic planning sessions.
  • Assists with travel coordination including travel authorizations and submitting expense reports.
  • Coordinates room reservations.
  • Organizes catering for meetings and events.
  • Performs other related duties as assigned.

Qualifications

Minimum Requirements:

  • Bachelor’s degree and two years of related experience; or a high school or GED and six years of related experience; or a combination of education and experience.

Preferred Hiring Qualifications:

  • Familiarity with GSU policies and procedures.
  • A self-starter able to work independently.
  • Radiates a positive attitude and is willing to be a team player.
  • Detail oriented and follows instructions carefully.
  • Effective organizational, time management, and communication skills.
  • Ability to work with and collaborate with diverse groups (internal/external).
  • Ability to multi-task, adapt to changing demands, and work well under pressure.
  • Proficient in Microsoft Office, Outlook, Word, and Excel.
