Job Description
Position Summary
The Assistant Director of Stewardship and Compliance supports the administration of donor-funded scholarships, ensuring awards are processed accurately and in alignment with legal, ethical, and donor-specified criteria. The position contributes to a comprehensive donor relations and stewardship program, including endowment reporting and donor communication support. It also assists with the planning and execution of scholarships and donor-related events, helping to create experiences that demonstrate appreciation and reinforce donor confidence.
Key Responsibilities
Scholarship Administration
- Coordinate the full lifecycle of donor-funded scholarships, from application through award disbursement in collaboration with Financial Aid.
- Maintain accurate and up-to-date records of scholarship criteria and eligibility requirements.
- Ensure donor-restricted funds are used in accordance with donor intent, working closely with philanthropy officers to interpret and manage gift agreements.
- Monitor compliance with federal, state, and institutional regulations governing scholarship administration.
- Collaborating with Financial Aid to ensure timely, accurate and compliant fund distribution.
- Prepare, validate and send annual scholarship disbursement information to Financial Aid to support student awarding.
- Monitor scholarship fund balances and usage to ensure responsible stewardship and avoid over or under expenditure.
Donor Stewardship
- Prepare endowment reports for donor stewardship.
- Assist with the collection and organization of thank-you letters from scholarship recipients.
- Support the planning and execution of scholarship recognition events and donor engagement activities.
- Ensure donor intent is honored in all scholarship processes, documentation and communications.
Compliance
- Track and analyze scholarship metrics related to fund usage, student impact and student success outcomes.
- Ensure compliance with FERPA, IRS regulations, and university and foundation policies.
- Identify opportunities to streamline scholarship processes and improve operational efficiency.
Collaboration and Communication
- Liaise with Financial Aid Office to verify student eligibility, enrollment and academic standing.
- Partner with communications to highlight scholarship impact stories and donor support.
- Participate in cross-functional initiatives that support donor relations and student success.

Minimum Qualifications
- Bachelor's degree
- Minimum of one (1) year of experience creating precise, detailed, and analytical reports from a large volume of research.
