Department Summary
Reporting directly to the Senior Associate Athletic Director for External Relations, the Associate Athletics Director of External Operations primary responsibility is to oversee the Department of Athletics external events and associated operations. This includes being the primary point of contact for external facing events and being the liaison for the campus partners associated with those events. This position serves as a member of the Athletics Director's Cabinet (AD Cabinet), Athletics Leadership Team, and Sport Administrator Group.
Arrange technical requirements such as parking, ushers, staffing, and any other services that might be necessary for the standards of event management for applicable events. Develop, manage, and supervise building security. Establish, review, and maintain departmental policies and procedures in accordance with University, MAC, and NCAA guidelines.
Liaise with the Assistant Athletic Director of Facilities to manage the necessary setup and conversion of facilities for practices, games, and other events. Serve as football, men's basketball, and women's basketball game day administrator overseeing logistics that include ensuring officials are scheduled and confirmed for all events, locker room assignments and parking for teams and officials, credentials, and provide game day operational guides for distribution to all visiting teams and officials. Collaborate and communicate with numerous athletic department areas and campus partners including athletic communications, fan experience, video services, ticketing, parking, Ohio Bobcat Club, external partners, and OUPD to ensure the successful presentation of events. Respond appropriately to emergencies or urgent issues as they arise. Issues may not be facility related but may be athletics program related.
Management of event rentals and assists in creating rental proposals for department revenue generation goals.Serves as a liaison to outside agencies or entities related to the program, prepare research and analysis leading to cost-effective event operations, develop plans and projections, budget oversight, and determine successful operational methods, processes, and procedures. Track all contracts and payments owed for facility rentals and staffing.
Monitor seasonal setup at other facilities and events to ensure consistent standards across all events and sports. This includes focusing on fan facing areas and elements.
Interview, hire, train, and supervise staff to include graduate assistants and student staff. Delegate, oversee and manage workflow and assignments. Determine staffing needs and levels which include but not limited to setup, event management, breakdown, and cleanup assignments. Track and manage payroll budget.
Position Profile
Duties/essential functions may include, but not be limited to, the following:
Maintains athletic equipment and facilities. Duties may include keeping equipment inventory records, providing athletic uniform laundry service, monitoring equipment conditions, repairing equipment, and purchasing new equipment.
Minimum Qualifications
Requires a Bachelor's degree in a related field, 5 or more years of related professional experience, and 3 or more years of supervisory experience, or equivalent education and experience.
Preferred Qualifications
Master's degree
Division I athletics and supervisory experience
