Associate Director, Cell and Molecular Biology Graduate Group
Job Description Summary
Oversees operations for Penn's largest graduate group, which consists of 6 programs with a combination of shared and unique processes, 450 full-time PhD students, and 450 faculty from schools throughout campus. Supervise three full-time staff members and oversee office budgets. Partner with faculty on admissions, course planning and other training activities, student advising and support. Ensure compliance with academic policies and procedures at the graduate group, school, and university levels.
Job Responsibilities
- Work closely with graduate group chair, program chairs, committees, and other faculty leaders, employing institutional knowledge and strategic planning skills.
- Oversee admissions processes, including inquiries, open houses, early consideration process, applicant files and aggregate data, admissions committees and target, faculty-applicant interviews, accepted candidate recruitment weekends, and pre-matriculation advising.
- Work closely with faculty leaders and staff in developing and administering courses, lab rotations, candidacy exams, thesis committees, and other training activities.
- Oversee processes for student enrollment, degree progression, and student records management, ensuring compliance with BGS and university policies.
- Develop a deep understanding of graduate students' training experiences and available resources, and ensure students benefit from appropriate advising, mentorship, thesis support, and preparation for PhD milestones. Partner with school and university resources to address individual student needs.
- Develop metrics of success in program performance in admissions, student achievement and curricular success, and program outcomes; develop reports and presentations for faculty leaders.
- Develop and maintain student handbook, websites, and social media.
- Oversee event planning, including orientation, annual CAMB symposium, program retreats, and aspects of graduation.
- Supervise three full-time coordinators and work closely with staff in associated offices (Biomedical Graduate Studies, Research Trainee Affairs, Combined Degree Programs, and BGS Finance). Develop and oversee recruitment and operating budgets. Manage space and other group resources.

Qualifications
- Bachelors Degree and 3 to 5 years of experience or equivalent combination of education and experience is required.
- Management experience, including staff supervision, budgets, space, and program scheduling, strongly preferred.
- Academic administration experience at the graduate student level strongly preferred.
- Data management experience -- including data queries/reporting and use of educational software for student records and admissions -- strongly preferred.
