Position Purpose:

The Associate Director provides strategic and operational support for campaign and Presidential Initiatives activities within University Advancement. The role manages critical office functions; prepares for high-level internal and external meetings; oversees the development of fundraising materials and special projects; and supports the Senior Associate Director (SAD) and Senior Vice President (SVP).This position requires sound judgment, discretion, and the ability to manage complex communications on behalf of senior leadership. Success depends on working effectively in high-pressure environments, managing multiple priorities, and executing donor and volunteer engagement strategies within tight timeframes.

Required Qualifications - Education and Yrs Exp:

Bachelors plus 6 or more years' experience or combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities:

  • Bachelor’s degree
  • Six to eight years of progressively responsible experience in a complex organization
  • Demonstrated ability to work effectively with senior leadership, Trustees, donors, and volunteers, and others
  • Excellent verbal and written communication skills and ability to work across the organization and interact/influence/negotiate effectively
  • Strong analytical, organizational, and project management skills
  • Exceptional interpersonal skills and professional judgment
  • High level of proficiency in creating polished deliverables and presentations. Demonstrated proficiency in Microsoft Excel and PowerPoint.
  • Experience with building program budgets, slide decks, and white papers.
  • Strong attention to detail and able to function independently with minimal oversight
  • Ability to prioritize and manage multiple projects in a fast-paced environment with shifting priorities
  • Ability to anticipate and take initiative while simultaneously knowing when to seek counsel.
  • Team player, resourceful problem solver, and reliable and flexible colleague
  • Highly level of proficiency with Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint)

Description:

Strategic Presidential Priority Development and Discovery

  • Serves as a trusted partner to the SAD and SVP, exercising independent judgment in managing communications, responding to inquiries, and escalating issues as appropriate.
  • Anticipates leadership needs and provides timely recommendations and solutions.
  • Manages complex scheduling and concierge-style support for senior leadership and in-demand campus partners.
  • Prepares high-quality pitch materials designed in collaboration with partners across Dartmouth, for new and emerging Presidential priorities.
  • Collaborates and cooperates with all members of the team to propel work efforts.
  • Works on special projects related to the campaign to advance Presidential Initiatives and the Campaign.
  • Develops and maintains statements of work, project plans, timelines, and deliverables for campaign priorities.
  • Coordinates cross-departmental initiatives and serves as a point of contact for senior staff officers engaged in campaign-related efforts.
  • Supports special projects advancing Presidential Initiatives and campaign goals, including creation of presentations, memos, and briefing materials.
  • Serves as contact for senior staff officers for focused campaign efforts and challenges.

Percentage Of Time: 50%

Campaign Volunteer & Committee Management

  • In partnership with the SAD, manages critical volunteer engagement, including high-net-worth advisors and senior University leadership.
  • Administers “Fit for Purpose” committees aligned with the President’s six key priorities.
  • In partnership with the SAD, SVP, and Senior Leadership, prepares for internal and external strategic meetings, including Campaign Executive Committee, unaffiliated philanthropy, and international volunteer boards; provides on-site logistical support as needed. Supports preparations for meetings of the Committees. Requires frequent direct contact with Fit for Purpose committee members and their support teams. Responds to queries from committee members and other high-level volunteers.
  • Serves as an agenda officer for a number of staff and volunteer campaign committees and establishes and manages protocols and processes for campaign projects. This includes serving as agenda officer for campaign counsel activities and campus visits.
  • Prepares presentations and other materials (digital and paper) and tracks invitation responses, accommodation needs, and other details.
  • Recruits volunteers, plans and facilitates meetings (in-person and virtual), and serves as a liaison between volunteers and University partners. Drives a variety of volunteer activities and functions, including facilitating communications between volunteers and principal investigators at Dartmouth.
  • Respond to inquiries from committee members and other senior volunteers with professionalism and discretion.
  • Operationalize plans for Campaign Briefings events and related events, including retreats, luncheons, and site visits.
  • Coordinates logistics such as venue selection, accommodations, recruiting hosts, materials development, and participation of senior leadership and key volunteers.
  • Prepare agendas, manages meeting flow, captures key decisions, and ensures follow-up on action items.
  • Utilizes Advance and Data Warehouse to record activity, gather data, respond to alumni inquiries, and produce reports supporting campaign and volunteer efforts.
