Primary Purpose of Organizational Unit:
The Division of Student Affairs consists of 13 functional departments, each of which is responsible for providing a variety of student support, service, and educational programs which are accessible to all members of the university community. The staff members are dedicated individuals known for their passion and commitment to implementing programs and services that affect student development over the course of a lifetime. Student Affairs provides excellent delivery of student services that are responsive to student needs and promotes the quality of life and education both inside and outside the classroom. We build institutional traditions and lifelong affiliations through creative programs, vibrant student organizations, and a living/learning environment built on core values and uncompromising principles. The Division is a leader and primary spokesperson for students.
The Campus Life department supports and gives direction to out-of-classroom learning. Based on the philosophy that learning is not confined to the classroom but is constant and on-going, the mission of the department is to facilitate the educational process by providing a laboratory experience for student growth, and an arena for the development of cultural, social, leadership, and engagement awareness. This is accomplished through the administration of the Fisher Student Center, University Union, Burney Center and Warwick Center and their programs and services, by providing guidance and resources to student leaders and organizations and serving as the campus' central point of reference regarding leadership development, student activities and organizations, fraternity and sorority life, and student community engagement.
Campus Life also serves as the first point of contact for conference and event planning and assumes the space scheduling coordination function for all campus space (except for academic course scheduling) and works with campus space stewards in various departments throughout campus to ensure timely, coordinated service for all customers.
The Conferences, Events, and Reservations unit is an integral part of the Campus Life department. Our facilities are student-centered and serve as focal points for campus life outside the classroom, enhancing the university's mission to offer a well-rounded educational experience to its students. Within the facilities are a variety of resources, spaces, and services to meet the needs of the campus community as well as external clients seeking to utilize Campus Life space. Conferences, Events, and Reservations support over 11,000 events every year in the facilities and generate revenue for the university. Conferences, Events, and Reservations staff coordinate campus space scheduling for non-course activities, coordinate campus training for EMS schedulers and space users, and assumes the role of EMS software user-owner.

Brief Summary of Work for this Position:
The Associate Director of Conference Services brokers and reserves facilities and coordinates campus services for year-round conferences for internal and external clients. This position oversees summer internship housing and the Campus Life Market Day programs. In addition, this position promotes UNCW Conference Services and university offerings through marketing mediums including tradeshows, UniqueVenues, internal and external websites, and social media to create and maintain brand recognition and recruit new business. This position provides primary oversight for Conference Services financial transactions including invoicing, billing, reconciliation, and collections and manages, tracks, and reports funds using Banner, Event Management Software (EMS) and Touchnet stores. The Associate Director utilizes appropriate software tools (including EMS, SIS, diagramming, ecommerce) to ensure successful conference event advancing and operations. This position directly supervises one professional staff member and provides leadership for additional graduate and undergraduate student staff and interns. This position serves as a member of the Campus Life Leadership team.
Minimum Education and Experience Requirements:
Graduation from a four-year college or university and two years of experience related to the area of assignment; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.
Preferred Education, Knowledge, Skills & Experience:
- Master's Degree
- Three to five years' experience in event and residential conference coordination
- Customer service experience, attention to detail, and strong organizational skills
- Knowledge of conference management and/or scheduling software, i.e., Event Management Software (EMS)
- Experience using billing/financial systems (Banner/Touchnet preferred)
