POSITION SUMMARY: This role assists, coordinates, and executes all logistics related to conferences, weddings, special events, and the summer use of residence halls across the Moravian University campuses to support external stakeholders. This position will work closely with the Executive Director in formalizing a strategic and comprehensive event and conference program for external clients.
ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
- Serve as a point of contact for external groups and organizations while overseeing the planning and execution of a variety of events including weddings, camps, conferences, and meetings.
- Initiate, coordinate, and manage the process for sending and executing contracts/facility rentals.
- Lead on communication with on-campus services for facility rentals (dining/ catering, campus police, custodial, etc.) through appropriate systems and workflow (e.g. 25Live, DocuSign, Google Suite, etc.).
- On campus event support as necessary and “On call” services through the summer conference season.
- Support and assist in the implementation of a comprehensive external event management process.
- Identify and execute strategies that serve to market Moravian University’s hospitality services to external stakeholders with the goal of building long term client relationships to support revenue objectives.
- Provide in-person assistance for large University events. This includes, but is not limited to Commencement and Heritage Day.
- Assist in developing assessment models for partnership and revenue tracking.
- Select, train, supervise, and evaluate student summer conference assistants.
- The nature of this position requires weekend and evening hours.
QUALIFICATIONS:
- Bachelor’s degree required, ideally in an appropriate field and 1-3 years of professional experience in event management and/or hospitality operations preferred.
- Skills or experience in conference services, student staff supervision, leadership development, community development, conflict resolution and a commitment to student learning and the student life profession with the desire to maintain an active involvement with students and parents, as well as faculty, campus administrators, and external partners, is preferred.
- Willingness to take on additional responsibilities based on previous experiences or institutional needs is expected.
