Job Summary

Recreation & Wellbeing (Rec Well) at the University of Wisconsin–Madison is seeking a detail‑oriented, innovative, and energetic intern to support scheduling and event operations within one of the nation’s premier collegiate recreation departments. This position offers immersive, real-world experience in event planning, logistics, and student-staff leadership within one of the most energetic and dynamic campus environments. Our state-of-the-art facilities are unlike traditional conference or hotel venues. As the Scheduling and Events Intern, you’ll help bring events to life—from student-organization meetings to campus-wide programs—while serving as a vital support to the student event staff who make them happen. You’ll gain hands‑on experience coordinating event logistics, supporting on‑site operations, solving problems in real time, and contributing to process improvements that shape how Rec Well events run all year.

You’ll also have the chance to step into a leadership role by supporting the hiring, training, and development of our student event staff team. This is a high‑impact, high‑interaction internship perfect for anyone aspiring to build a career in event management, recreation operations, hospitality, or student affairs. This internship is fundamentally about supporting event operations, enhancing the student staff experience, and contributing to a fast‑paced, people‑focused environment. Each week will bring new events, new challenges, and new opportunities to learn and grow as an emerging event professional. It offers immersive, full‑lifecycle event experience, from intake and planning to logistics coordination, to on‑site execution and evaluation.

This intern will gain experience in:

  • Supporting and coordinating student event staff, including training, development, scheduling, and communication.
  • Assisting with event planning and logistics for internal programs, student organization events, and campus partners.
  • Providing administrative support for event intake, facility scheduling, equipment tracking, and office operations.
  • Participating in process improvement projects, documentation updates, and knowledge‑base maintenance.

Key Job Responsibilities

  • Develops targeted communication plans and materials based on established goals
  • Prepares and monitors budgets and purchases expenditures as needed
  • Coordinates logistics for events and programs
  • Assists in implementing the staffing resource allocation plan including hiring, training, and supervision
  • Identifies, proposes, and implements new or revised operational policies and procedures
  • Engages in the Rec Well professional internship development curriculum, all staff meetings, divisional committees, and other professional development responsibilities and opportunities.

$22.50/Hour

Required Qualifications

  • Strong communication, leadership, and organizational skills.
  • Ability to think creatively and critically to solve problems.
  • Demonstrated commitment to high-quality customer service.
  • Experience with Microsoft Office Suite (Word, Excel, Outlook) or similar software.

Preferred Qualifications

  • Prior event, customer service, or leadership experience strongly preferred.

Work Schedule

Monday-Friday 8:00 AM- 5:00 PM. Times will vary by day and there is flexibility, with an average of 30 hours per week.

Academic Professional Internship Information

  • Internships are limited-time employments lasting 9 months or 1,040 total hours
  • Internship dates are approximate and will run mid-August 2026 to May 2027

Education

  • HS Diploma – Required
  • Bachelor's Degree - Achieve or advancing towards Bachelor's degree or higher in a related field.
