The Associate Director or Director of Enrollment Analytics and Operations works closely with other internal and external stakeholders to monitor application traffic, marketing efforts and recruitment tactics, deliver real time feedback, and provide recommendations to achieve targeted outcomes. This position builds and maintains the analytic deliverables (dashboards, reports, training) necessary to support strategic decision making and translates data into digestible, action-oriented, summaries. This position reports to the Assistant Dean of Graduate Admissions for the Villanova School of Business and supervises the Assistant Director of Enrollment Operations in Slate CRM administration and other operational tasks.

The Associate Director or Director of Analytics and Operations is also responsible for the admissions application process and student services databases, with a particular emphasis on the university CRM system, currently Technolutions Slate CRM. This individual will continually evaluate, research and report on opportunities to enhance VSB's Graduate & Executive Programs services and efficiencies by leveraging enrollment management software.

Duties and Responsibilities

Data Analytics

  • Monitor admissions KPIs (conversion, expense (scholarship), and net promoter score).
  • Use data visualization software (Power BI, Tableau, Slate, etc.) to develop dashboard reports to monitor application pipelines for real time feedback.
  • Collaborate with the Assistant Dean to leverage Slate data to identify behaviors, model interests and predict future actions for all VSB programs. Continually tune these models based on changes in policy, outside influences, and audience behaviors.
  • Capitalize on stored UTM, Ping and source data to drive marketing, web, and communication strategies.
  • Analyze event attendance and ROI and under the direction of the Assistant Dean, develop feedback loop for future planning.
  • Collaborate with University Communication and Marketing team and the VSB Marketing team, to ensure data drives marketing efforts and assess the impacts of implemented strategies.
  • Effectively respond to ad-hoc report and analysis requests from various stakeholders.
  • Coordinate with VSB Graduate Admissions and Program teams to identify data needed to help them make key strategic decisions.
  • Continuously improve internal processes with quantifiable data points.
  • Contribute to collegewide data reporting and survey requests.

Database Management & Operational Effectiveness

  • Actively manage established processes and protocols for the Graduate Business Admissions team through Technolutions Slate CRM to drive recruitment and admissions.
  • Supervise Assistant Director of Enrollment Operations in daily responsibilities and growth opportunities.
  • Maintain established processes to organize, streamline and collect programmatic and admissions data.
  • Prepare and analyze data for accreditation, rankings, and surveys.
  • Maintain knowledge of current trends in technology/software relevant to higher education and provide suggestions and feedback on decisions to implement new uses of technology.
  • Leverage, manage and maintain other graduate office technologies, such as SoftDocs, Credly, etc.
  • Develop functional knowledge of current and future technology/software used by the School of Business to assist with implementation of new systems and provide ongoing support to users.
  • Monitor lead acquisition campaigns and lead data integration into Slate.
  • Develop and maintain documentation surrounding operations, policy, and procedures.
  • Respond to audit and compliance requests.
  • In collaboration with the Assistant Dean, set standards for data governance.
  • Comply with all FERPA (Family Educational Rights and Privacy Act) policies and procedures.

Technical Support

  • Provide support for technical issues with all processes in Slate.
  • Provide routine information and training to VSB Graduate Admissions staff or student workers on system design, utilization, upgrades, process improvements and resolving system problems and conducts periodic training sessions for staff users of the system.
  • Assist in troubleshooting any issues with parallel systems, such as MyNova or Banner, which pertain to the admissions and onboarding process.

Cross Departmental & Cross School/University Coordination

  • Participate in the Villanova Slate User Group.
  • Serve as a Data Steward for the University.
  • Partner with internal stakeholders such as University Technology Services (UTS), Registrar, Bursar, Financial Aid, other Villanova colleges.
  • Work with VSB Graduate staff to ensure a world-class and seamless experience for all VSB stakeholders.
  • Participate in VSB and University Committees and task forces.

Other

  • Perform additional duties and assist with special projects as assigned.

Minimum Qualifications

Formal Education

  • Undergraduate degree required.

Specific Job Knowledge

  • Associate level: strong technical skills and hands-on experience working with a relational database management system required.
  • Director level: proven, advanced Slate experience, including demonstrated experience managing, configuring, and optimizing Slate functionality to support operational and strategic needs. Slate certification is preferred at this level, but not required.
  • Strong technical knowledge of Banner, Slate, Qualtrics, and data visualization tools.
  • Must be able to confidently prepare and analyze datasets for internal and external review.
  • Must have excellent written and verbal communication skills and strong organizational skills.
  • Must understand enrollment management processes, related software solutions, data analysis and database management.
  • Must have experience in project management as well as a proven track record of providing excellent customer service.
  • Must communicate professionally and efficiently within a fast-paced environment and be proficient in all standard computer applications, including Microsoft office products, particularly Microsoft Word, Excel. General knowledge of office principles and procedures is required.

Work Experience

  • Associate level: Minimum of 4 years of work experience in data management/analytics, enrollment management, or research.
  • Director level: Minimum of 7 years of work experience in data management/analytics, enrollment management, or research.
  • Experience within a fast-paced work environment with a proven track record of success.

Work Skills

  • Must have strong technical knowledge in working with a relational database management system. Must be able to confidently prepare and analyze datasets for internal and external review.
  • Must have excellent written and verbal communication skills and strong organizational skills along with a friendly, upbeat, and highly professional demeanor.
  • Must be a team player with a proven ability to maintain the highest level of confidentiality, and attention to detail.
  • Must have the ability to handle a fast-paced environment and to manage multiple projects/tasks with varied deadlines.
  • Must be poised with strong customer-service skills and be able to work independently under general supervision.
  • Must have strong interpersonal communication skills and the ability to work effectively with outside vendors, faculty, staff, and students.

Equipment Knowledge

  • Experience operating and troubleshooting standard office equipment.

Preferred Qualifications

Formal Education

  • Master's degree.

Specific Job Knowledge

  • Experience with Power BI or Tableau.

Physical Requirements and/or Unusual Work Hours

Some regional and/or national travel required. Occasional evening and weekend work required to serve the needs of the student population.

Salary Posting Information

This Associate Director falls within salaried grade 15 and the range for this position is $64,000-80,000.The Director falls within salaried grade 16 and the range for this position is $71,700-89,600. The final salary will be determined with consideration of several factors including the selected candidate's qualifications, department budget availability, market data, and internal equity.
