Associate Registrar
The Associate Registrar at MICA is a strategic leader responsible for overseeing all aspects of academic records and registration services. This role plays a central part in ensuring the integrity, security, and accuracy of student academic records while fostering a culture of service excellence, innovation, and inclusive excellence. The Associate Registrar ensures compliance with federal and state regulations, including FERPA, and supports data-informed decision-making across the institution. This role is also instrumental in implementing technological advancements that enhance student experience and operational efficiency.
Essential Duties & Responsibilities:
Academic Records Management Oversight
- Maintain the accuracy, integrity, and confidentiality of undergraduate academic records in compliance with institutional policies and FERPA.
- Oversee student registration, grade processing, academic standing, degree conferral, transcript issuance, and diploma distribution.
- Supervise the evaluation and articulation of transfer credits, including AP, IB, and study abroad coursework.
- Lead the production of academic calendars, course catalogs, and course scheduling in collaboration with academic and Executive leadership.
- Develop and implement registration and graduation policies and procedures aligned with institutional goals.
- Oversee use and optimization of PeopleSoft, Degree Audit, Canvas, and related systems.
Compliance & Reporting
- Ensure compliance with federal, state, and accreditation standards, including FERPA, IPEDS, MHEC, Middle States, and Veterans Affairs.
- Lead institutional enrollment and degree reporting, including partnerships with the National Student Clearinghouse.
- Coordinate records retention and data governance practices per state and institutional guidelines.
- Serve as a key campus resource on academic policies and compliance issues.
Leadership and Administration
- Support strategic direction in partnership with the Senior Director & Registrar of Enrollment Services for registrar staff, fostering a team-oriented and service-driven environment.
- Manage departmental budget and resources efficiently.
- Support student success and retention efforts through collaborative work with academic and administrative partners.
- Represent the Registrar's Office in institutional committees related to academic policy, curriculum, and enrollment management.
- Collaborate across departments to integrate technology solutions that improve service delivery and support academic progression.
Other Duties
- Coordinate components of the annual Commencement ceremony with Academic Affairs.
- Participate in professional development and serve on regional or national associations as appropriate.
- Support special projects and strategic initiatives as directed by the Senior Director & Registrar of Enrollment Services or the Provost.
- Perform other related duties as assigned.

- High level of diplomacy and professionalism in handling sensitive situations.
- Strong analytical, organizational, and project management abilities.
- Demonstrated leadership in managing diverse teams and building effective collaborations.
- Expertise in academic policy interpretation and application.
- Proficiency with databases, spreadsheets, reporting tools, and student records platforms.
- Ability to operate effectively in a fast-paced, highly regulated environment.
- Commitment to equity, inclusion, and excellence in service to students, faculty, and staff.
Minimum Qualifications:
- Bachelor's degree in Education, Higher Education, Administration or related field.
- A minimum of five (5) years of progressively responsible experience in higher education, with leadership in academic records or registrar functions.
- Demonstrated experience working with student information systems (PeopleSoft preferred) and degree audit tools (e.g., DegreeWorks).
- Strong knowledge of FERPA and related compliance frameworks.
Preferred Qualifications:
- Master's degree in Education, Higher Education, Administration or related field.
- Eight (8) years of experience in registrar or academic records operations.
- Experience managing curriculum systems, academic scheduling, or other student information systems.
- Familiarity with Workday Finance/HR, PeopleSoft Student and advanced data reporting tools.
- Proven track record in systems integration and administrative innovation.
- Experience leading audits and compliance reporting (e.g., IPEDS).
