Position Overview:
This is a 12-month full-time position that resides in the Athletic Department within the Division of Student Affairs. This position reports directly to the Executive, Director of Athletics. The Athletics Business Manager is responsible for the coordination of budget management for the Athletic Department. This position works closely with the Executive Director of Athletics to manage the day-to-day business operations. Job responsibilities include processing all budget paperwork, accurate record keeping, preparing reports for the executive director, managing reallocations within the budget, coordinating team travel and managing the department credit cards
Responsibilities:
- Establish and maintain accurate records. Monitor budget status throughout the fiscal year. Assist with formulation of annual operating budget.
- Prepare budget reports and projections for the Athletic Director.
- Manage and execute all day-to-day business paperwork including payment of invoices, meal money requests, check requests and PO's for Athletic Director approval.
- Manage and prepare journal entries and foundation transfers for approval.
- Coordinate and submit payment for all officials electronically.
- Assure that all fiscal activities adhere to the policies of the College, New Jersey Athletic Conference and the NCAA.
- Serve as a contact for apparel & equipment providers. Keep accurate records of all approvals, order and payment requests.
- Assist with athletic camp/clinic/prospect administration to implement electronic registration and payment process.
- Work with Associate Athletic Director and Assistant Athletic Director for Facilities on Tickets & Concessions to ensure proper record keeping and procedures are followed for withdraws and deposits.
- Under the guidance of the Athletic Director work with coaches in management of team operating budgets and fundraising accounts.
- Oversee sales for apparel where appropriate and at select events. Train event staff in procedures, as needed.
- Assure seamless communication with appropriate College offices as needed for efficient completion of business transactions for both units.
- Adhere to the values and guidelines of TCNJ and the Athletic Department including but not limited to the Athletic Department Policies & Procedures Manual.
- Produce monthly Athletic Program Budgets and Administrative Budgets reports and distribute to Director of Athletics and other personnel as directed.
- Share monthly Foundation reports including donor information to appropriate personnel.
- Provide monthly supplemental and student aid payroll reports.
- Update regularly and ensure accurate spreadsheets for Tickets & Concessions, SFB Funding, Professional Development, Hall of Fame & Golf Outing.
- Produce Post Season cost projections followed by a final report at the end of season.
- Keep accurate information and compile data for annual reporting of dollars spent per vendor.
- Keep accurate information, compile data for and prepare for submission the annual Equity in Athletics Disclosure Act (EADA), reporting as required by both the NCAA and the NCAA.
- Team Travel Coordination Serve as primary liaison for bus company and coordinate all bus travel. Work with coaches to secure hotels as needed. Produce team meal checks as needed. Monitor tax exemptions for out of state department travel. Administer use & controls of department gas cards. Ensure the use of Anthony Travel for booking all team travel.
- Credit Card Management Manage and reconcile department credit cards. Review and reclassify charges on every department credit card statement for Executive Director's approval. Check credit card balances as needed. Review credit limit increase requests and prepare for Executive Director's approval.
- Other duties as assigned.
Qualifications:
Required:
- Graduation from an accredited college/university with a Bachelor's degree in a field related to the position or equivalency as determined by the appointing authority.
- Minimum of 3 years' experience in athletics business management.
- Strong PC skills and proficiency in Microsoft Business Suite (Work & Excel) and G Suite (Sheets, Drive & Docs). Knowledge of or ability to learn quickly campus software systems such including Oracle Cloud, Concur Travel System, People Soft and web-based programs to pay officials.
- Excellent organizational and time management skills to prioritize workload, handle multiple tasks, and complete assignments with accuracy and attention to detail in a timely fashion.
