Shift: Monday-Friday 9am-5pm (nights and weekend when necessary flexible schedule)
Regular Days Off: Saturday and Sunday
Anticipated Start Date: August 2, 2026
Position Date Commitments: August 2, 2026-May 29, 2027 & August 1, 2027-May 27, 2028
Salary: $30,000 + Professional Development Funds and on campus Graduate Housing & Meal plan (housing and meal plan subject to benefits tax)

General Statement of Duties:
The successful grant recipient will be a visible hands-on leader demonstrating attention to detail, organizational excellence, and follow-through. The Staff Assistant for Business, Operations, and Compliance is vital in continuing to grow in our ability to meet the needs of today's student athletes and coaches. The position provides comprehensive athletic compliance support to coaches, staff, and student-athletes while gaining experience throughout all facets of NCAA Division III compliance. The person hired, will report to Nancy Bals, Senior Associate Athletics Director/Senior Woman Administrator and in addition will work with Assistant Athletic Director/Head Women's Basketball Coach Andrea Bertini and Richard Lenfest, Director of Athletics.
Duties and Responsibilities: Duties include but not limited to:
Essential:
Business
- Assist in all financial operations for twenty varsity sports, cheerleading, fitness facilities, building operations and administrative accounts.
- Assist in budget development, forecasting, and reporting.
- Assist in cash flow planning, long range forecasting and fiscal strategy.
- Assist as needed in areas of development and marketing related to revenue generation.
- Exposure to financial programs such as excel, Banner for Finance, student-athlete debit cards, charter company portal, and others.
Operations
- Assist with team travel logistics.
- Assist in practice and facility scheduling utilizing 25Live and Teamworks.
- Assist in enhancing the student-athlete experience during university closed periods such as preseason, winter break, and spring break.
- Serve on short term campus committees that are relative to events such Pep Rally, Family Day, Homecoming.
- As an entry-level manager in athletics, create an inclusive environment and culture and demonstrate zero tolerance for exclusionary behaviors.
- Serve on a team of 12 staff sharing home game management responsibilities.
- Assist in planning game day promotions and assist in supervising the use of Nestor the owl costume.
- Oversee student-athlete volunteers at Westfield State's annual Special Olympics flag football qualifying tournament.
Compliance:
- Coordinate tracking and evaluation of potential transfer student-athletes for initial eligibility.
- Assist with general departmental paperwork and processes necessary to facilitate organized operation of the compliance department.
- Assist with monitoring playing and practice seasons.
- Assist with general support and education in compliance.
- Assist with roster management through Teamworks.
- Assist with determining student-athlete eligibility using Argos and Banner.
Job Requirements:
Qualifications
- Bachelor's Degree required.
- Degree in Sports Management, Athletics Administration, Finance, Business or related field preferred.
- Demonstrated experience in athletics at the intercollegiate level.
Knowledge, Skills and Abilities
- Service-minded professional who enjoys working in college athletics and supporting coaches, staff, and student athletes.
- Excellent communicator-in person, in writing, and across all platforms.
- Demonstrates character, integrity, accountability, and competitive drive.
- Thrives in fast-paced environment, organized, efficient, and responsive with attention to detail.
- Strong organizational and technological skills.
Special Instructions to Applicants
The purpose of the NCAA grant is to increase opportunities for underrepresented groups in intercollegiate athletics, including but not limited to, veterans and first-generation students. This is a grant funded 10-month per year position spanning two academic years: 2026-27 and 2027-28. It is expected that the hired person will attend an orientation in Indianapolis, Indiana August 2-4, 2026.
