Auxiliaries Employment Coordinator (Onsite)
About the Job
Working under the direction of the Assistant Director of Staffing, Training & Development and Administration staff, the Auxiliaries Employment Coordinator will develop and coordinate the recruitment efforts and strategies for the division of Auxiliaries Enterprise and Fiscal Innovation. The coordinator will work with hiring managers within the AFI portfolio to conduct recruitment for professional staff. The incumbent will assist with recruitment, hiring, and onboarding aspects for both career and student staff. The coordinator and student administration staff will represent AFI by attending career fairs, tabling internal and external events, and developing marketing tools to support recruitment efforts for the AFI portfolio.
KEY RESPONSIBILITIES
Staff Recruitment Support:
- Manages and administers all aspects of the staff recruitment processes including but not limited to, the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety. Participates in the development and revision of standard operating procedures and guidelines. Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.
- Submits staff HR request.
- Supports hiring managers in organizing recruitments, such as interview set up and communication.
- Oversees new hire checklists and submit requests.
- Assist in the maintenance of departmental organizational charts.
- Submits separations to Payroll for Staff in timely manner.
- Oversees communications to new hires.
- Submits access and physical key requests as needed.
- Monitors required trainings through onboarding.
- Participates in campus tabling events to market Dining & Retail operations and career opportunities for both student and staff positions.
- Promotes staff jobs for the departments.
Student Employee Hiring & Onboarding:
- Manages and administers all aspects of the student employee hiring and onboarding programs and processes including but not limited to, the following functions: finance, facilities, payroll, space planning, student services, human resources, communications, informational technology or safety. Participates in the development and revision of standard operating procedures and guidelines. Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.
- Submits requests to Student Employment for job postings, hiring intakes, separations, rate changes, etc.
- Organizes the recruitment efforts for large volume student hiring.
- Keeps hiring managers informed regularly of their hiring requests and needs and keep all tracking information up to date.
- Oversees job descriptions and other documents related to student employment in working closely with hiring managers.
- Manages the successful onboarding of student staff from monitoring and tracking required trainings, communicating next steps, and putting together comprehensive orientation to ensure they have access to information to be successful in positions.
- Participates in campus tabling events to market Dining & Retail operations and career opportunities for both student and staff positions.
- Promotes student jobs for the department.
- Manages job postings and meet with student applicants regularly, interviewing them for current and proactive hiring needs.
- Ensures student applicants are provided timely communication regarding their applications, through departmental emails, Handshake and other campus systems and processes.
- Directly supervises student staff to help support the administrative functions of the position.
Training Support:
- Oversees and tracks required training for the department such as Food Handler Certificates, UC Learning Center required trainings and more.
- Continues to assess and improve onboarding trainings for Staff and Student workers, such as initial orientation and handbooks.
- Provides support as needed for planned trainings for the department that occur typically during winter break, spring recess and summer months.
- Works closely with departments to build morale building and retention programs within student employment programs.
Administrative:
- Directly supervises student staff to help support the administrative functions of the position.
- As needed, submit requests to campus partners in support of hiring and training efforts.
- Oversees the non-slip shoe program for the department and uniform distribution.
- Supports as needed in payroll reporting and management, such as separations, supervisor changes, etc.
- As needed, supports in administrative special projects for the department.
Qualifications
EDUCATION and EXPERIENCE
- High school diploma and/or equivalent certification/experience/training High School Diploma, General Equivalency Degree (GED), or High School Equivalency Diploma (HSED) or equivalent. (Required)
- Bachelor's degree in a related area. (Preferred)
- Five (5) years administrative/clerical work experience which have led to the development of the skills, knowledge, and abilities essential to the successful performance of the duties assigned to the position is required. (Required)
- Bachelor's degree in a related area and one (1) year of administrative/clerical work experience which have led to the development of the skills, knowledge, and abilities essential to the successful performance of the duties assigned to the position is required. (Required)
CRITICAL KNOWLEDGE AND SKILLS
- Experienced in MS Office (especially Outlook, Word, Excel), Adobe Acrobat Pro, navigating shared drives and One-drive, and using various information systems.
- Ability to be self-motivated, function autonomously, improve processes, and consistently prioritize projects and tasks.
- Ability to manage confidential and sensitive information with discretion.
- Organized, detail-oriented while providing seamless customer service.
- Ability to manage multiple projects and resources at the same time while prioritizing deliverables.
- Good communication skills both written and verbal.
- Ability to use sound judgment in responding to issues and concerns.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing.
- Solid organizational skills and ability to multi-task with demanding timeframes.
- Strong teamwork skills with the ability to support others in the department and division.
