Johns Hopkins, founded in 1876, is America's first research university and home to nine world-class academic divisions working together as one university.

This position is responsible for supporting administrative and financial processes in the Leadership, Engagement, and Experiential Development (LEED) Office. We are seeking a Budget Specialist who will be part of an administrative team in the LEED Office, a unit within the Department of Student Engagement. The LEED Office provides student organizational support, leadership development programs, and services to enhance the campus life experience for students and others in the University community.

The Budget Specialist is primarily responsible for assisting with the budgets & financial transactions for over 250+ student organization accounts within the following categories: Student Government Association (SGA)/Student Activities Commission (SAC), Charter Organizations, Graduate Representatives Organization (GRO), Fraternity and Sorority Life (FSL), Lecture Series, and Programming Boards. The position reports to the Administrative Supervisor of Leadership, Engagement, and Experiential Development and will have budget supervision support from the USS Financial Analyst.

Specific Duties & Responsibilities

Financial Processing

  • Maintain accurate financial records to ensure financial compliance with university policies and procedures.
  • Process and track procurement documents from creation to close-out; follow up and troubleshoot problems that may occur. Serve as a point of contact for questions regarding financial and compliance policy and procedures.
  • Initiate and execute various transactions (e.g., journal transfers, purchase orders, vendor setup, invoices, online check requests, travel and expense reimbursements, petty cash vouchers, non-payroll cost transfers, cash deposits), ensuring deadlines are met.
  • Process SAP check requests for invoices in SAP and verify payments with vendors, including resolving non-payment issues.
  • Assist the Administrative Supervisor with ensuring internal order numbers are set up promptly.
  • Coordinate, monitor, and submit all necessary student organization budget information for progress reports.
  • Oversee and reconcile, on a monthly and yearly basis, student group accounts with over 2,000 individual transactions and approximately $1million in revenues/expenses.
  • Assists with the management of the financial module and monthly updates within Campus Groups (Hopkins Groups).
  • Coordinate administrative functions such as purchasing, student payroll, and records administration as needed.
  • Supports other LEED Budget Specialists in coordinating and reconciling Hopkins Groups' ticket revenue for student organizations.
  • Ensure compliance with university regulations and restrictions.
  • Assist with monthly, quarterly, semi-annual, and annual allocation for all LEED/Student Life managed accounts. Attend monthly SAC and Homewood Administrators meetings.
  • Other duties as assigned.

Special Knowledge, Skills, or Abilities

  • Knowledge of SAP Analysis Reporting, Purchasing, Accounts Payable, Travel, and Payroll administration, including knowledge of corresponding policies and procedures.
  • Skilled in managing budgets, spreadsheets, and databases.
  • Strong analytical, problem-solving, and accounting skills.
  • Excellent verbal and written communication skills required.
  • Excellent communication, organizational, interpersonal, and customer service skills.
  • Experience working with accounting systems.
  • Demonstrated ability to use discretionary judgment and maintain confidentiality in working with financial and budget information.
  • Ability to work with a variety of contacts (i.e., students, staff, faculty advisor, other University affiliates, vendors) and constituents.
  • Ability to work in a fast-paced, student-oriented environment.

Minimum Qualifications

  • High school diploma/GED Required.
  • Three years related experience required, preferably in financial management, accounting procedures, customer service and supervision of staff/student assistants.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education beyond a high school diploma/graduation equivalent, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

  • Bachelor's Degree in Business, Accounting, or finance preferred.
  • Experience in a university setting and/or with college-aged students is highly desirable.

Role/Level/Range: ATO 37.5/02/OE
Starting Salary Range: $18.20 - $33.90 HRLY (Commensurate w/exp.)
Employee group: Full Time
Schedule: M-F 8:30 AM - 5:00PM Weekends to be expected.
FLSA Status: Non-Exempt
