Essential Job Duties:
The Business Officer will administer and manage the business and financial affairs of all Arts NC State units (NC State LIVE, University Theatre, Gregg Museum of Art & Design, and Crafts Center) and the Arts NC State central office.

Duties include but are not limited to:
Budget Management

  • Partners closely with the Executive Director and unit Directors to develop, analyze, and manage annual and five-year operating budgets, ensuring alignment with strategic priorities and fiscal guidelines.
  • Leads preparation and presentation of the annual budget, providing clear financial analysis and recommendations to leadership.
  • Completes and submits all required insurance-related documentation in compliance with university and state requirements.
  • Prepares and coordinates required forms and documentation related to budget and fee adjustments.
  • Oversees accounting and fund management activities, including student fees, trust funds, foundation funds, and receipts, ensuring accuracy, transparency, and compliance with applicable policies.
  • Provides training, guidance, and oversight to Arts NC State staff on budgetary procedures and financial best practices.
  • Meets regularly with the Executive Director, Directors, and staff to review financial status, provide updates, and offer guidance on business actions.
  • Oversees inventory audits and coordinates facilities-related financial planning in collaboration with appropriate campus partners.

Transactional

  • Oversees and administers purchase card (P-Card) activity, including reconciliation and adherence to university policies.
  • Processes PaymentWorks transactions and invoice/voucher payments in alignment with NC State and University Controller requirements.
  • Coordinates and reviews contracts and large purchase requisitions, ensuring proper documentation and approvals.
  • Initiates and processes interdepartmental transactions (SUBS - service unit billing and IDTs - interdepartmental transactions) to support cross-unit financial operations.
  • Manages check deposits and ensures proper recording and reconciliation of funds.
  • Serves as the primary point of contact for pre and post-award grant administration for Arts NC State, including initiating entries in the RED (Research Enterprise Data) system.

Budget Liaison

  • Serves as the primary budget and financial liaison with key internal and external stakeholders, including the DASA Business Office, University Controller's Office, and University Cashier's Office.
  • Coordinates closely with DASA Facilities on budgetary matters related to space, facilities planning, and operational needs.
  • Acts as a point of contact for outside vendors and campus partners, facilitating clear communication and ensuring alignment with university financial policies and procedures.

Minimum Experience/Education:
Bachelor's Degree in Business Administration, Accounting, or related area; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Required Qualifications:

  • Demonstrated ability to independently manage business operations supported by multiple, dynamic funding sources, including contracts, grants, receipts, and other revenue streams.
  • Thorough knowledge of accounting and budgeting practices, with the ability to analyze financial data, conduct forecasting, and contribute to budget development, capital requests, and resource planning.
  • Ability to interpret, apply, and modify policies and procedures to ensure compliance, resolve issues, and support sound business practices in complex environments.
  • Proven capacity to support short- and long-term strategic planning, including staffing and workload planning, identification of funding sources, and analysis of operational needs.
  • Strong analytical and communication skills, with the ability to evaluate moderately complex business and financial information, resolve non-routine issues, and develop clear, well-supported documentation and recommendations for leadership.

Preferred Qualifications:
Experience with arts business operations.
