Job Description

PRIMARY DETAIL

Join our Work-Integrated Learning team and play a key role in supporting student compliance and professional registration processes for course placements!

• Salary package: $78,954 to $85,095 per annum (HEW 4) plus 17% employer's superannuation contribution and annual leave loading (pro-rata equivalent for part-time).

• Appointment Type: Part-time 0.8FTE (28 hours per week), continuing role (hybrid & flexible work arrangements may be accommodated, subject to discussion at interview)

• Location: Based at Macquarie University, Wallumattagal Campus, North Ryde

The Role

The Compliance Administrator provides essential administrative and coordination support for student compliance and professional registration processes related to placements within faculty accredited courses.

This role is responsible for verifying and recording documentation, engaging with students and staff, and supporting the coordination of compliance activities in alignment with University policies and external regulatory requirements.

Reporting to the Work-Integrated Learning Team Lead, the Compliance Administrator ensures accurate record-keeping, timely communication, and contributes to a positive student experience throughout the compliance and regulatory lifecycle.

The position also involves liaising with internal faculty teams, broader University departments, Macquarie University Health, and external registration bodies to confirm and maintain student compliance for placement eligibility.

Your key responsibilities will include:

  • Liaise with staff, students, and relevant University areas to support compliance and verification processes, ensuring students meet applicable University, industry, and professional requirements.
  • Review documentation and evidence submitted by students or staff to check against established compliance criteria for placements and related activities.
  • Assist in checking and confirming compliance with internal and external stakeholders, (such as NSW Health, AHPRA or NESA) or websites
  • Follow up on non-compliance issues by advising students or staff of required actions and escalate unresolved matters to the appropriate team member or supervisor.
  • Maintain accurate records of compliance checks, including dates and outcomes, in approved systems, ensuring data is complete and aligned with University policy and legislative requirements.
  • Communicate compliance outcomes and risks clearly and in a timely manner, escalating issues according to standard procedures.
  • Run reports, collate and compile data to assist with planning, monitoring, decision making and audit processes
  • Ensure confidentiality and privacy protocols are followed when handling sensitive information
  • Keep up to date with relevant compliance standards and processes; contribute to the preparation and distribution of resources and updates for staff and students.
  • Assist in and contribute to process improvements to support ongoing process improvements to enhance compliance workflows and student support.
  • Comply with relevant EEO and WHS regulations
  • Perform any other duties as required and appropriate for this classification

About You

You are a detail-oriented and organised professional with a strong commitment to accuracy and compliance. With excellent communication and customer service skills, you’re confident liaising with a diverse range of stakeholders and reviewing documentation against established standards. You bring a proactive approach to managing tasks, following up on issues, and maintaining accurate records, all while respecting confidentiality and privacy protocols. Your ability to navigate systems and databases, interpret compliance requirements, and contribute to process improvements makes you a valuable team member. Ideally, you also have experience or knowledge of professional registration or compliance processes within health, education, or similar sectors.

  • A certificate or diploma in business administration or progress toward a relevant degree or equivalent experience in a professional setting,
  • Attention to detail and accuracy including the ability to review documents and data for accuracy, identify inconsistencies, and follow up appropriately,
  • Time management and organisational skills with the demonstrated ability to coordinate and meet deadlines,
  • Excellent written and verbal communication skills with the ability to interact professionally with a range of stakeholders including students, staff, and external bodies,
  • Strong customer service focus including ability to request and provide clear information and follow-up responses,
  • Understanding of privacy and confidentiality in handling personal information, and
  • Well-developed computer skills including the use of Office 365, electronic records, databases or systems including web-based verification platforms

Desired Criteria

  • Knowledge of compliance and/or professional registration processes ideally by agencies such as NSW Health, AHPRA or NESA,
  • Experience in coordinating compliance and verification processes
