Coordinator of Financial Aid ( Coord Financial Aid Scholarships and State Aid Programs) - Mount Wachusett Community College

General Statement of Duties:

The Financial Aid Coordinator for Scholarships and State Aid Programs plays a critical role in managing and overseeing all administrative functions related to state and private/foundation scholarship programs. This position ensures compliance with state regulations, coordinates aid processing, and provides leadership within the Student Financial Services team. The coordinator serves as a resource for students and staff, offering guidance on financial aid policies and processes while maintaining accuracy and efficiency in aid administration.

Responsibilities:

  • Oversee implementation and management of financial aid administrative functions.
  • Process all state aid programs (e.g., MassGrant, MassReconnect, MassEducate) and tuition waiver batch processing.
  • Manage institutional and outside scholarship aid, including awarding in Banner and reconciling Foundation awards.
  • Run and review reports (Outside Aid Report, discrepancy reports) and adjust student financial aid offers as needed.
  • Coordinate certification and payment rosters for state and outside aid programs.
  • Collaborate with the College Business Office for reconciliation of state aid and outside awards.
  • Provide leadership and direction to financial aid counselors and administrative staff.
  • Train and orient new employees on financial aid practices; develop and implement new process training.
  • Manage prison population reporting for FAFSA entry, verification, and awarding.
  • Delegate data entry tasks and submit monthly and year-end files and surveys.
  • Support students and families with financial aid applications (FAFSA) and provide counseling via multiple channels (in-person, phone, email, Zoom).
  • Conduct quality control reviews of counselor work (minimum 10% on a rotating schedule).
  • Participate in college service activities (e.g., Curriculum Committee).
  • Perform other duties as assigned.

Job Requirements:

Minimum Qualifications:

  • Master's degree in Education, Business, Accounting, Human Services, Sociology, or closely related field;
  • Two (2) years experience and/or training involving financial aid operations, loan processing, and computer operations; or
  • An equivalent combination of education, training, and experience.

Desired Qualifications

  • At least 3 years at the professional level in a Financial Aid Office
  • Experience working at a college/university in financial aid with a significant percentage of first-generation students as well as adult learners, or underserved students
  • Understanding Massachusetts state financial aid programs and their guidelines
  • Demonstrated ability to operate with a strong sense of urgency, effectively prioritizing tasks and making timely decisions in a fast-paced, deadline-driven environment
  • Knowledge of Title IV federal regulations
  • Bilingual
  • Experience working in a Community College
  • Experience working with a Customer Relationship Management (CRM) system such as Target X
  • Experience working with Banner
  • Demonstrated knowledge of Microsoft Office
  • Strong written and oral communication skills
  • Comfort with and ability to do public speaking
  • Strong customer service and interpersonal skills working in a very diverse environment
  • Excellent attention to detail and ability to handle multiple tasks in a fast-paced, high-volume environment
  • Sensitivity, commitment, and experience with the goals of Affirmative Action and workforce diversity
  • Ability to work effectively in multiple environments, including when on campus and at events

Additional Information:

Campus Title: Coordinator of Financial Aid Scholarships State Aid Programs
Salary: $76,153.00-$129,800.00
**** Actual Salary determined by education, experience, and any applicable grant limitations per the collective bargaining agreement. Applicants should be aware it is unlikely the salary will be at or near the top of the range.
Grade: 6

Hours per Week: 37.5 Hours 8am-4pm with one late day of 10-6
