Coordinator, Prospect Management - University Advancement
Position Summary
The Coordinator, Prospect Management responsibilities include supporting the Senior Director, Prospect Management through high-level project management, in-depth technology usage, and customer service. More specifically, the Coordinator is responsible for managing special projects; requesting, organizing, and monitoring data sets; capturing internal and external business processes; and collaborating with other administrative support professionals to ensure all consultations and needed meetings are calendared.
The incumbent will have superior attention to detail, outstanding oral and written communications skills, advanced computer skills, ability to work well under deadlines and to handle multiple projects simultaneously. The incumbent must have the ability to apply good judgment and handle confidential information and situations with sensitivity and discretion.
Job Description
Primary Duties & Responsibilities:
Project Management
- Serve as project manager of several complex projects as assigned. Capturing and updating internal and external business processes to record policies and procedures. Liasing with Advancement Learning to develop standardize learnings for Prospect Management’s policies and procedures. Manage Prospect Management’s intranet site, surveys, and other ongoing projects. Manage onboarding schedules, materials, etc. for new Prospect Management hires. Offboarding responsibilities from departing Prospect Management hires.
General Administrative Support
- Provide general administrative support for the Prospect Management team and Senior Director. Administrative support includes managing calendar; providing telephone support; scheduling meetings, handling correspondence; preparing, sending, and responding to emails; and drafting correspondence and documents for the Senior Director. Create and manage various spreadsheets, reports and presentations using advanced techniques in Excel, Word, and PowerPoint. High level of confidentiality and discretion.
- Perform other duties as assigned.

Required Qualifications
Education: High school diploma or equivalent high school certification or combination of education and/or experience.
Certifications/Professional Licenses: No specific certification/professional license is required for this position.
Work Experience: Relevant Experience (3 Years)

- Experience working with Affinaquest platform.
- Experience working in higher education and/or non-profit organizations.
- Sensitivity to the needs and mission of Washington University in St. Louis and understanding of the importance of university relationships with alumni and friends.
- Ability to foster a highly professional, welcoming, and inclusive office environment.
- A positive attitude, initiative, resourcefulness, and the skill to handle a high-volume work.

This position is located in St. Louis, MO and the targeted hiring range for this position is $21.17 - $24.50 per hour.

Salary Range
$21.17 - $32.85 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
