Description

The Records Clerk is to support the Public Safety department by overseeing the scheduling of part-time employees, managing event scheduling, and ensuring the accuracy and quality of police records. This role involves submitting law enforcement data to relevant databases, coordinating office operations, and assisting in the hiring and onboarding of part-time staff. The Records Clerk will use various technologies, handle requests for service, and prepare necessary reports, all while maintaining a professional office environment. Proficiency in technology, excellent human relations skills, and the ability to handle high-stress situations are essential for this position.

Essential Functions

  • Assist with scheduling of part-time employees.
  • Assist in the hiring, onboarding, training and development of new part-time staff.
  • Assist with new hire paperwork.
  • Assist with event scheduling.
  • Ensure completion and quality control for all records and related responsibilities within the Police Records Division.
  • Submit required law enforcement data and reports to city, state, and federal databases as required by law.
  • Assign tasks and distribute work assignments in accordance with staff and departmental needs; ensure that tasks are performed accurately, timely, and within budget.
  • Assist staff, as well as the campus community, in all areas related to police records operation; assist with and follow-up on requests for service, complaints, and requests for information.
  • Prepare analytical and statistical reports on operations and activities, as needed; prepare other required annual, monthly, weekly reports as needed.
  • Identify problems and make concerted efforts to solve problems in the Police Records Division.
  • Coordinate office operations; develop and maintain office forms and procedures.
  • Act as backup to department L.E.A.D.S. Coordinator for the Police Department.
  • Perform other related duties and special projects as assigned.

Minimum Requirements

  • Ambulatory ability to stand and walk for extended periods of time, both indoors and outdoors.
  • Sufficient writing skills to prepare incident reports
  • Sufficient human relation skills to resolve confrontation, affect behavior of others, assert oneself, and convey a positive image of the Department
  • Authorized to work in the US legally without sponsorship

Preferred Requirements

  • Experience in a clerical position utilizing many forms of technology
  • Experience working in a fast-paced environment with high stress periods
  • Familiarity with emergency notification systems
  • Familiarity with Simplex fire alarm systems
  • Familiarity with Microsoft SharePoint applications
  • Familiarity with Computer Aided Dispatch (CAD) systems

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. In addition, individuals will use security equipment such as video monitors, 2-way radio equipment, and security keys and electronic fobs.

This position works at our downtown Chicago location part-time, Monday – Friday, between the hours of 7:00 AM and 4:00 PM.
