Department: Corporate Training and Economic Development (CTED)
Reports To: Manager, Corporate Training and Economic Development
Travel: 1-4 times per year
LOCATION: North Coast Marine Manufacturing Training Center, Marinette, Wisconsin
STANDARD HOURS: 40 hours per week. Typical hours Monday - Friday 7:30 am - 4:00 pm; Flexibility required to include other hours, as necessary.
PAY RATE: $26.21 per hour
This position is limited term and anticipated to end on December 31, 2027. Opportunities for contract extension may be considered based on organizational and industry needs and the appropriate approval processes.
POSITION SUMMARY
Provides comprehensive contract and project support to account executives and internal partners by maintaining accurate data across multiple systems and ensuring successful delivery of customized training programs. This role serves as a primary point of contact for internal and external customers, managing contracts, grants, financial documentation, and logistics related to workforce training initiatives. The Customer Specialist supports proposal development, customer relationships, invoicing, reporting, and project coordination to ensure contractual compliance, fiscal accuracy, and high-quality service delivery. Through collaboration with cross-functional teams, this position contributes to operational efficiency, customer satisfaction, and the successful execution of corporate and economic development programs.
ESSENTIAL FUNCTIONS
- Act as the primary point of contact for contract service and department offerings. Manage and maintain accurate contract data across multiple platforms in the creation of quotes, contracts, and classes.
- Collect and review grant-funded application information, schedule and fulfill training, and create modifications for submission to the state.
- Secure and write proposals for repeat business for specialized courses, maintain and nurture customer relationships, and provide active support as the main customer contact.
- Analyze and allocate financial data to ensure expenses are within the proposed budget, document changes, and resolve any discrepancies. Monitor expenditures to maintain fiscal responsibility and prevent budget overages.
- Correspond with outside contacts regarding contracts, modifications, and out of district documentation. Prepare and communicate online learning details, assessments and awarding certificates, badges, or credit level credentials.
- Fulfill and oversee multiple and concurrent training and technical assistance projects including handouts/branding, course curriculum, supply ordering, catering, expense reimbursements, instructor pay and fulfilling workload.
- Coordinate all logistical aspects of training day needs for both the instructor and the customer including room assignment and directions, handouts and materials, facility setup, and audio-visual requirements.
- Perform project management tasks for projects including training deliverables, securing instructors, scheduling sessions, and oversee implementation to meet customer needs. Oversee and execute all logistical aspects of training and delivery when acting as the project management coordinator, including scheduling, instructor coordination, materials, facilities, and technology needs.
- Manage and submit non-instructional and faculty course assignments for multiple concurrent projects, ensuring compliance with institutional policies, instructor hour limits, and contract budget parameters.
- Prepare and submit customer invoices by verifying billing details, amount due, and service descriptions. Review, process and code vendor invoices in compliance with vendor requirements and applicable tax documentation.
- Investigate and reconcile reports for missing grades, enrollments, instructor pay, invoices, etc.
- Collaborate with account executives, project management coordinators, finance, and various departments to ensure seamless operations. Provide work directions and guidance to Support Assistants.
- Develop and maintain a high level of proficiency in Microsoft Office, Workday, and Salesforce for quoting, account and project management, reporting, and budget tracking.
- Draft, review and refine a variety of documents including reports, proposals, contracts, presentations, agendas, minutes, etc.
