CSPD Instrument Coordinator-Surgical

This position is responsible for ensuring instrumentation and back-up inventory-levels are adequate and available for surgical case procedures. In addition, will be a resource and provide support to the surgical teams and service leads in the Operating Rooms. Acts as liaison between CSPD, OR, Supply Chain, Finance, physicians, instrument vendors and all other stakeholders. 

Key person responsible for monitoring the OR Instrument budget, in conjunction with CSPD Manager, through the internal Instrument Ordering App and reviewing Finance BI information as requested.

  • Requests instrument purchases and approves instrument purchase requests via the Instrument Purchase Process flow.
  • Tracks trends on missing and damaged instruments and communicates to OR/CSPD leaders the trends and helps implements root cause analysis and leads process improvement projects.
  • Responsible for ensuring that instrumentation is available and maintained in optimum working condition. Conducts daily walk throughs, reviews low-on shelf reports, and instrument utilization reports. Advises CSPD/OR leaders of increased/decreased instrument usage and helps provide corroborating data to support instrument purchases and/or DNU’s.

Serves as the central point of contact for OR Clinical staff, CSPD leadership, and OR/CSPD staff for instrument repairs, instrument orders and instrument set creations (new or revised). Will facilitate new set creation and will ensure that the new set process flow is followed by all stakeholders (i.e., CSPD, OR, Supply Chain, OR Informatics etc.) Responsible for IFU reviews of new and existing instrument inventory, in conjunction with the CSPD educator.

  • Functions at an expert level with Operating Room instrumentation, knowledgeable of instruments and locations and their different locations within O.R. cores.
  • Point person for count sheet edits.
  • Manages repairs of broken instrumentation and scopes.
  • Responsible for adding new trays into inventory and ordering new items for trays.
  • Responsible for ordering missing items from the missing list for instrument trays.
  • Review of IFUs.

Responsible for communicating instrument inventory changes to CSPD and OR staff, and coordinates with CSPD educator on creating SOPs for new/revised processes. In conjunction with the CSPD manager, manages, and supports internal and external customers. Serves as the resource for information for employees and customers. Attends huddles and provides updates as needed via verbal and written communication.

  • Participates in the coordination of all aspects of department's services and works in conjunction with O.R. Informatics to keep count sheets accurate and updated.
  • Participates in the orientation of new instrument processors.
  • Participates in department in-service education programs regarding instrumentation and IFU’s. Ensures all staff signs-off on in-service attendance sheets and provides attendance sheets to educator. Updates communication books as needed.

Acts as a resource for staff, regarding the reprocessing methods, parameters, and Joint Commission compliance.

  • Assisting with workflow when necessary.
  • Will work with Instrument Clinic Coordinator for intake of new clinic items and instrument purchases.
  • Responds immediately to resolve instrument related concerns or to satisfy additional instrument needs during all surgical cases. Communicates appropriately using good interpersonal skills.

Develops and improves skills through initiative, attendance, and participation at educational programs.

High School Graduate or equivalent. Associates Degree or advanced certification preferred.

  • Five years of professional experience in the medical field with at least three years of experience in sterile processing experience required
  • Certification through an accredited Sterile Processing Organization such as CBSPD or IAHCSMM (within one year of hire)
  • Experience in leading projects, teams, or programs

40 hours a week/ Monday- Friday 7am-330pm
