Department Coordinator (Administrative Support Coordinator II)
Position Summary
San Diego State University is seeking a highly organized and detail-oriented Department Coordinator to support the Department of Civil, Construction, and Environmental Engineering. In this role, you'll serve as a key administrative support partner, coordinating administrative, fiscal, and external engagement activities, supporting leadership, and ensuring smooth day-to-day operations.
Key Responsibilities
- Operations Support: Support daily department operations, office systems, records management, and digital webpage updates with OmniUpdate.
- Financial & Resource Management: Oversee State and Foundation budgets (including SEED, SURP, lab fees), process financial transactions using Oracle Financials and MyRF, and reconcile department budgets and departmental assets and inventory.
- Staff Coordination: Coordinate Instructional Student Assistant recruitment, hiring, and training. Support department chair with part-time faculty hiring, onboarding and separations in my.SDSU and OnBase.
- Administrative & Organizational Support: Provide direct support to the Department Chair with managing calendars, meetings, reports, correspondence, and initiatives including fundraising and departmental planning.
- Academic Program & Compliance: Coordinate class scheduling and academic processes via PeopleSoft, maintain records, process academic forms, and support ABET accreditation compliance and reporting requirements.
- Faculty & Instructional Support: Support faculty with course materials, administrative processes, review RTP/periodic evaluations and create evaluations in Interfolio, and oversee classroom and lab safety, repairs and operations.
- Communications Coordination: Serve as front-desk contact, create and maintain internal/external newsletters, announcements, and coordination with campus offices, utilizing platforms such as Canvas and departmental communication channels.
Position Information
- This is a full-time (1.0 time-base), benefits eligible, permanent/probationary position.
- This position is designated non-exempt under FLSA and is eligible for overtime compensation.
- Standard SDSU work hours are Monday - Friday, 8:00 a.m. to 4:30 p.m., but may vary based on operational needs.
- The individual hired into this role will work on campus at SDSU in San Diego.
Department Summary
The Department of Civil, Construction, and Environmental Engineering is one of four departments in the College of Engineering. The primary objective of the department is to prepare students for a career in Civil, Construction and Environmental Engineering. The department has four major programs, with 21 full-time faculty including the Department Chair. There are currently 31 part-time, adjunct and affiliated faculty members and two department staff positions. The department serves more than 1000 students including undergraduate, master's and doctoral students.
Education and Experience
Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. Some positions may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite.
These qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.
Key Qualifications
- Progressively responsible administrative or clerical experience in a large organization, demonstrating sound judgment, discretion, initiative, and the ability to lead and coordinate administrative activities.
- Experience with MS Office, Oracle Financials, PeopleSoft or similar systems.
- Demonstrated ability to quickly learn policy, procedures, and administrative functions.
- Experience in budget oversight and financial tracking.

Compensation
Step placement will be determined based on relevant qualifications and professional experience, in alignment with the department's budget and equity guidelines.
- Initial step placement is not expected to exceed Step 1 ($4,367) for highly qualified candidates.
- CSU Classification Salary Range: $4,367 - $6,362 per month (Step 1 - Step 20).
- Future increases, including step advancements, are subject to contract negotiations.
- Salary step placement for internal applicants will follow the CSUEU Collective Bargaining Agreement.
