The College of Saint Benedict (CSB) and Saint John's University (SJU) invites applications for a full-time (0.83 FTE), benefit-eligible position of Department Coordinator.

The Department Coordinator supports the success of assigned academic departments by assisting the department chair(s), faculty, and students in a variety of ways. Key responsibilities include administrative support, communications and event coordination, student employee supervision, and budget assistance. This position follows the academic year (44 weeks) schedule and offers flexibility in hours, while requiring regular in-person availability Monday through Friday.

Current hiring for multiple department coordinators may support academic departments and programs such as: Gender Studies, Global Languages and Cultures, Hispanic Studies, History, Honors Scholars Program, Latino/Latin American Studies, Music, Theology, and the Center for Teaching and Learning.

The posted wage represents CSB and SJU's good faith estimate of likely compensation at the time of posting. Actual pay will be dependent upon several factors, including the candidate's experience, qualifications, and skills, and may fall outside of the range indicated.

Office Management:

  • Purchase, monitor, and maintain departmental office tools and supplies as needed.
  • Submit maintenance requests and ensure departmental spaces are welcoming and well-maintained.
  • Maintain copy machines to ensure they are in working order.
  • Maintain departmental data storage systems and organization.
  • Prepare offices for new faculty, ensuring necessary supplies are in place before the academic year begins.
  • Recruit, hire, train, schedule, and supervise student employees assigned to the department(s).

Supporting Department Chair and Department Work:

  • Assist department chairs by processing major declaration forms, maintaining advising lists and departmental files, and reviewing staffing grids.
  • Support faculty assessment efforts by collecting annual assessment materials, tracking alumni placements, and assisting with processing quizzes and test through the Scantron system/language placement testing as requested.
  • Update and maintain appropriate distribution mailing lists for announcements to major and minor students, faculty, student work staff, alumni/alumnae, and affiliated departments.

Communications and Event Support:

  • Schedule and coordinate departmental events.
  • Coordinate travel, accommodations, and public event scheduling for visiting guests and departmental conferences.
  • Update and maintain department websites and social media platforms.

Departmental Budget Management:

  • Provide timely budget updates to department chair(s).
  • Research, place, and track orders for departmental purchases.
  • Allocate and reconcile purchasing card (P-card) transactions.
  • Ensure all purchase documentation is collected and complies with reimbursement and travel guidelines.

Other duties as assigned.

Qualifications:

  • High school diploma or GED required; post-secondary education preferred.
  • Experience working in an office setting required; experience coordinating events and managing budgets preferred.
  • Proficiency in, or ability to learn, Microsoft Office Suite (e.g., Word, Excel, Outlook).
  • Ability to maintain department websites and social media channels, or a willingness to learn.
  • Strong attention to detail and organizational skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to maintain confidentiality and uphold professional standards.
  • Ability to prioritize tasks, solve problems, and work independently with minimal supervision.
  • Openness to feedback and the ability to incorporate it into projects and responsibilities.
  • Flexibility and willingness to adapt to evolving responsibilities.
  • Commitment to fostering a welcoming, inclusive, and respectful environment for all students, faculty, staff, and guests.

PHYSICAL REQUIREMENTS:

  • Requires working at a computer for extended periods, including typing, reading from a screen, and using various software programs essential for the role.
  • Occasionally required to lift or move items up to 25 pounds.

TRAVEL REQUIREMENTS:

  • Regular travel between the campuses of the College of Saint Benedict and Saint John's University.
