Position Summary
The Department Support Specialist assists faculty, staff, and students in the Department of Nursing with clerical and administrative duties in order to effectively deliver all of the nursing academic programs to students. Handles a wide range of issues to support the RN to BSN. Additional duties to support the graduate programs as assigned. Reports administratively to the Director and Nursing Program Coordinator.
Duties and Responsibilities:
- Monitors and coordinates accounting activities and prepares internal reports for the department as well as performs accounting; participates in budget planning and monitors/tracks department purchases, costs, invoices, memberships, and ordering supplies
- Plans and coordinates department travel, using Emburse for travel reimbursement.
- Performs administrative duties for assigned department administration, faculty, and students, composing, meeting minutes and general correspondence, researching and collecting data, establishing and maintaining record keeping and databases (SharePoint).
- Updates and maintains program accreditation information and tracks employee professional development.
- Assists with program scheduling, class schedules, catalogs, collecting syllabi.
- Works on data entry for nursing programs, collecting data, compiling data, and processing data as assigned.
- Provides administrative support and assistance, which includes providing general information, preparing written responses to routine enquiries, and maintaining electronic filing system for the department.
- Coordinates, tracks, and maintains office policies, processes, and procedures.
- Creates and maintains departmental databases; generates reports from the record keeping system for assigned area, provides program information for accreditation surveys and activities.
- Assist with scheduling and coordination of nursing student orientations and accreditation site visits.
- Prepare faculty contracts and assists faculty with book adoptions.
- Attend department meetings faculty/staff, student orientation and recruitment sessions and intensive sessions and other meetings as required.
- Assists with clinical placement tracking, forms, and MOUs as needed.
- Occasional travel for Nursing Department events as needed
- Other duties as assigned
Minimum Job Requirements
- High school diploma and four (4) years of related experience.
- OR
- Bachelor or Associate’s degree and two (2) years of related experience.
Must be proficient in:
- Microsoft Office: Outlook, Word, Excel, SharePoint, etc.
Preferred Qualifications
- Bachelor’s degree in nursing or any related field.
- Experience working in higher education
- Knowledge and experience with New Mexico healthcare and higher education system.

- Advanced verbal and written communication skills and the ability to work with a wide range of constituencies in a diverse community
- Demonstrated ability to maintain confidentiality
- Knowledge of Banner for budget preparation and fiscal management
- Knowledge of faculty and/or staff hiring procedures.
Physical Demands
- Repetitive hand motion and prolonged use of computer
- Sitting for extended periods of time
- Limited physical effort required
- Ability to travel to Las Vegas campus and clinical sites as required.
Working Environment
- Work is performed in a typical interior/office work environment or remote location.
- May be hybrid with requirement to work on campus.
- Limited exposure to physical risk.
