The Development Program Coordinator supports Penn Engineering's fundraising operations through administrative leadership and donor relationship management. This role provides critical support to the Vice Dean of Development and Alumni Relations, Executive Director of Development, Director of Major Gifts, Major Gift Officer, and Assistant Director of Research, Prospect Management, and Data Analytics. Key responsibilities include coordinating donor meetings, preparing meeting materials and follow-up communications, producing donor profiles and reports, managing calendars, arranging travel, processing expenses, and planning senior-level meetings. The Development Coordinator serves as the first point of contact for important visitors and maintains accurate fundraising data.
Job Responsibilities
- Provide logistical and/or technical support on the following items (among potential others): database, emails, phone calls, memos, PowerPoint presentations, donor meeting packets, donor and event briefings, meeting agendas, volunteer correspondence, database and/or Excel reports. Help organize calendars through response to requests.
- Manage travel arrangements, complete expense/reimbursement reports, schedule and reserve space for meetings when required, and help manage alumni visits to campus.
- Actively work in the database including updating donor records, establishing opportunities, entering contact reports, and producing reports and lists. 15%
- Draft gift agreements for fundraisers and submit through approval process. Create the corresponding Opportunities and new GAUs.
- Assist the Assistant Director of Research, Prospect Management, and Data Analytics with prospect research and management including pipeline management, pulling reports and prospect lists from QlikView, and sourcing donor contract information. Reconcile Compass with new donor information.
- Participate in signature events, such as Reunion, Alumni Weekend, Homecoming, and other special events as needed.
- Serve as extra hands for important Penn Engineering projects upon request when schedule allows.
- Act as backup for gift processing, which includes the following:
- Process and acknowledge incoming donations and gifts in a timely manner.
- Maintain accurate and up-to-date donor records.
- Assist with gift allocation, fund creation, and gift adjustments including following up to see if adjustments are complete.
- Work closely with the Central Gift Accounting Administration Records team.
Qualifications
Bachelor's degree and 2 - 3 years of related experience or an equivalent combination of education and experience.
This position requires exceptional organizational abilities, strong interpersonal skills, and a commitment to advancing Penn Engineering's development goals. As a key contributor to the success of the Penn Engineering Development and Alumni Relations office, the Development Coordinator must be highly motivated with excellent project management skills, strong communications, high comfort with technology, and someone who enjoys and thrives in a fast-paced environment. The ideal candidate will have a strong attention to detail and be able to take initiative and manage sensitive information. Proficiency in the use of word processing, spreadsheet, and presentation applications (e.g., Word, Excel, PowerPoint). In addition, interest and capacity to learn systems and databases unique to the organization.
Must be able to work nights and/or weekends at limited times of the year.
