Job Details

The Director of Advancement Services will oversee all database operations, including gift processing, within the Office of Advancement at the University of Indianapolis. This person will possess strong technical skills regarding the use of a customer relationship management system (CRM), and can establish best practices for the Office of Advancement. The Director will oversee all data input, data projects/reports, and routine fund reconciliations. The Director of Advancement Services will collaborate with the appropriate team members within the Office of Advancement, and the University, as needed. This position manages three team members; the Associate Director of Advancement Analytics, the Senior Research Associate and the Advancement Specialist.

REQUIREMENTS/MINIMUM QUALIFICATIONS:

  • Experience
    • 5+ years of experience in managing advancement databases and advancement operations, specifically gift processing.
  • Education
    • Bachelor’s Degree required.
  • Licenses/Certifications/Credentials
    • Training or certification in Blackbaud’s Raiser’s Edge is helpful.

SUPERVISORY RESPONSIBILITIES:

Manage the Advancement Services team, including Research Associate(s), Associate Director of Advancement Analytics, and Advancement Specialist(s).

ESSENTIAL FUNCTIONS:

Oversees advancement research, database management, data analysis and reporting, and data entry/data integrity and serves as liaison between the Office of Advancement and Accounting:

  • Raisers Edge Database Administration:
    • Facilitates processes through the supervision and maintenance of forms, documentation, databases, and relevant donor information entry into the database.
    • Trains staff on use of Raisers Edge.
    • Oversees data standards and data integrity maintenance.
    • Serves as primary point of contact for questions, updates, problem resolution, and all other issues relating to Raisers Edge.
    • Works closely with consultants at Blackbaud to maintain and manage the Raisers Edge and FPM database.
  • Data Reporting and Analysis:
    • Analyzes, evaluates, and disseminates information that is critical to securing major gifts.
    • Runs reports used by management.
  • Strategy:
    • Collaborates with the VP of Advancement, AVP of Advancement, and other Advancement staff during prospect meetings with other Advancement staff to develop and facilitate active moves management.
    • Makes recommendations regarding potential major donors.
    • Works with Alumni Engagement, Professional Edge, and Athletics Development to determine database/data needs.
  • Establish & Implement Policies and Procedures:
    • Coordinates all research requests needed for the Office of Advancement and other department requests.
  • Supervise:
    • Manages and mentors the Associate Director of Advancement Analytics, Research Associate(s) and Advancement Specialist(s).
    • Manages the research efforts, project, and data requests by establishing priorities.
    • Creates assignments and ensures that all deadlines are successfully met.
  • Act as Liaison to Accounting and Information Systems:
    • Serves on DISC (Data Integrity and Standards Committee) and other committees as assigned.
    • Works closely with Accounting and the Controller to ensure proper fund management, compliance with financial policies, and preparation for annual audit requirements.
  • Resources & Budget:
    • Tracks and manages the advancement services budget.
    • Manages and coordinates the evaluation, purchase, budget and renewal of resources, publications and services.
    • Represents research and advancement services team in the evaluation, recommendation and selection of future resource acquisitions.
  • Other duties, including special projects, as required or assigned.
