POSITION DESCRIPTION:
The Stevenson Union (SU) is the community center for the university. The SU provides meeting space, services and programs that enhance the university’s educational, cultural, and social life. Under the direction of the Director of Student Activities and the Stevenson Union, the Custodial Services Coordinator will supervise, train and assist custodian student workers and the Stevenson Union Custodian when and where necessary on presentation, cleanliness, organization and minor maintenance issues within the Student Union. This individual will assist with maintaining department equipment(vacuums, dryers, scrubbers, rider equipment, etc.) routine review of equipment function/operation and securing of University property when not in use. This position will also assist with low level building maintenance tasks which may include, but are not limited to the changing of light bulbs, unclogging of toilets, and painting. The Custodial Services Coordinator will conduct regular rounds of the Student Union (Interior and Exterior of the building), record notes, provide feedback and observations on all custodial duties and maintain accurate notes of reported issues and outstanding/incomplete items. The Custodial Services Coordinator works closely with the Stevenson Union Events and Operations Specialist to review event set-ups and works with the custodial team to set-up and tear down events. The Custodial Services Coordinator must maintain a positive attitude when communicating with custodial team members, department and student life colleagues, customers/guests, staff, students, and building partners and staff team members. The Custodial Services Coordinator must be able to help promote a positive work environment for increased staff morale. Custodial Services Coordinator must be able to change, adapt and be flexible during a time of transition in a dynamic work environment.
Minimum Requirements
- Two years of experience in custodial services work.
- Experience with custodial/maintenance work
- Work experience managing others
Preferred Requirements
- Knowledge of calendar and event tracking software (EMS Software)
- Willingness to want to learn more, know more and do more within the Student Union department
- Ability to work with a high level of productivity and accuracy/attention to detail.
- Ability to forecast, plan ahead and identify potential conflicts/problems in advance
- Is prepared with possible solutions to challenges and/or problems that arise
- Is punctual, on time and ready to begin at start of shift (arrives early to prepare)
- Is effective in managing time, assignments and daily tasks
Essential Functions
Duties - The following examples are typical work activities that are meant to illustrate the general range of work functions and are not meant to be all-inclusive or restrictive:
40% Duties Include
General Cleaning and Repairs
- Empties outdoor ashtrays, wastebaskets; cleans walls and other surfaces; cleans windows and mirrors; cleans and sanitizes toilets, sinks; fills dispensers; dusts; sweeps, strips, mops, waxes, and buffs floors; vacuums and shampoos carpets; picks up litter; shovels snow; sweeps steps; washes outside windows; collects and bundles recyclable items. Set-ups of audio-visual and computer equipment and moving and arranging furniture for events.
- Changes light bulbs; clears clogged drains and toilets; performs minor maintenance of custodial equipment and building (i.e. changes belts of bags on vacuum cleaners, changes brushes or pads on floor buffers and waxers, tightens screws, and replaces doorknobs); reports needed repairs for maintenance and safety problems.
35% Duties Include
Coordinates Custodial Work
- Assure staffing needs are met for assigned shifts; calls for substitute staff in case of unplanned absences or regular custodial staff; hires and trains new employees to do custodial work and to correctly operate equipment; assigns work to custodial staff on assigned shift; maintains safety standards.
- Approves and submits time records for employees through a web time entry software.
- Keeps and inventory of supplies, furniture, equipment, linen and materials; coordinates linen and custodial supply needs of custodial staff and requisitions new supplies and materials; reports missing furniture or equipment.
20% Duties Include
Monitors Building Standards and Security
- Checks to see that the building has been cleaned and maintained properly; reports and oversees building repairs, records repairs in log book; may take corrective action or retrain custodians when work is substandard or may report substandard work to a higher authority in cases of contractual custodial work.
- Updates the Stevenson Union Frank Manual as needed.
- Locks and unlocks buildings and meeting rooms; turns lights on and off; makes rounds to ensure systems are functioning properly; reports security deficiencies; distributes and collects keys to the building used in the performance of duties of the assigned employees, on as needed basis.
5% Duties Include
Miscellaneous
- Sets up audio-visual and computer equipment; moves and arranges furniture for various special functions; prepares applicable reports an deeps a variety of records (i.e. night checklist report; cleaning records; safety training records).
- Performs other assignments as needed.

- Excellent communication skills; demonstrated ability to effectively communicate information in a clear and understandable manner, both verbally and in writing.
- Demonstrated customer service experience requiring a very high level of diplomacy and professionalism to effectively handle a broad range of sensitive interpersonal situations.
- Demonstrated ability to interpret and consistently apply a wide variety of complex policies and procedures where specific guidelines may not always exist.
- Expressed ability to work with frequent changes in policies and procedures, under pressure of deadlines in a fast-paced environment.

- Must have the ability to learn and understand audio-visual and computer equipment set-ups and sound checks.
- Must have the ability to perform minor maintenance on custodial equipment and building.
- Ability to understand and follow written and oral instructions.
Physical Demands
- Must be able to move/position/transport 60-100 lbs. occasionally.
- Must be able to lift/carry 35 - 50 lbs. regularly.
- Must be able to ascend/descend ladders.
- The worker must be physically able to perform all assigned duties and operate assigned equipment.
- Occasionally school activities may require earlier reporting or extension of scheduled work shift.
- The work is done inside a building but does involve some outside work, sometimes in inclement weather.
- Work involves the use of dangerous chemicals; some ladder work is required.
Special Conditions
- Must be willing to travel and attend training programs off-site for occasional professional development.
- Must be able to work additional hours and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
- Must be able to successfully pass a pre-employment background check.
- This position classification has been defined as non-exempt and is subject to the overtime provisions of the Fair Labor Standards Act (FLSA).
- The person holding this position is considered a mandatory reporter under the Oregon Revised Statutes and is required to comply with the requirements set forth by the Oregon Department of Human Services.
