Occupational Summary
The Program Coordinator, Senior will provide support for the Master of Engineering within the Institute for Enterprise Engineering and school-wide initiatives for master’s students. This position reports to the Master’s Studies Program Director and will be part of a team of program coordinators who work individually and collectively to support various academic programs. The program coordinator will plan, coordinate, manage, and administer activities related to program, faculty, and student support.
Work Performed:
Program support (50%)
- Monitor, track, and ensure student compliance with the academic requirements, deadlines, graduation requirements, etc., and report program progress to the relevant entity
- Make operational and programmatic decisions that have a significant impact on the successful achievement of program strategies and objectives; develop, coordinate, and advise staff regarding program policy.
- Develop, administer, and assess evaluations and surveys and recommend and implement modifications to monitor or improve program effectiveness.
- Budget for and coordinate program functions such as orientation, graduation, seminars, residencies, and professional development. Responsibilities may include overseeing event coordination, inviting appropriate speakers or other participants, arranging schedules, facilities, and publicity, and ensuring necessary financial arrangements.
- Support the admissions process as needed by the DMS, including participation in recruitment events, answering applicant questions, assessing candidates, or interviewing candidates, admitted student activities, and new student onboarding.
- Prepare budgets, monitor, and reconcile expenditures as appropriate
- Plan, implemented, and coordinated systems designed to maintain master’s program informational Duke site page, such as listservs, alumni database, master’s program web page, and Pratt Professional Masters Bulletin; prepare and submit course requests to EFC and Registrar’s office for approval.
- Maintain liaison with other programs, offices, departments, and schools at Duke to coordinate program business to accomplish program objectives and establish procedures for registering and facilitating registration; interface with external organizations as appropriate to ensure cooperative efforts are enhanced and available resources are utilized.
- Prepare, manage, and coordinate all aspects of the program’s financial process to include a yearly budget and monthly reconciliation.
- Function as a strategic partner to DMS in new course planning and assisting with course evaluations
- Work with the Associate Dean or Engineering masters programs to implement a new co-op program to Promote the program, advise potential participants, manage the co-op relationship agreement process, coordinate and manage required program checkpoints, set up the co-op courses, respond to student situations that may arise during the co-op or related to the co-op program.
Faculty Support (20%)
- Communicate with faculty regarding teaching assignment, course scheduling, course materials, course enrollment, classroom needs and availability, faculty parking, faculty advisor training, grade policies, and other faculty-related matters; work with students and faculty to resolve schedule conflicts, and monitor and manage the waitlists.
- Identify, hire, and train TAs in support of courses
- Support faculty course delivery by setting up SAKAI/Canvas sites, purchasing instructional materials, and liaison with the bookstore point person.
- Conducts new faculty onboarding
Student Support (20%)
- Act as the first point of contact for students in the master’s program and as the interface between the program, the students, and the Director of master’s Study (DMS).
- Provide a wide range of student services including but not limited to; assisting students with understanding program requirements, supporting students through the course registration process, helping students understand their student account balance, supporting students in need, and helping students navigate the wide array of Duke requirements and opportunities.
- Work closely with the DMS to develop and implement events and activities to support program objectives and develop community.
Strategic Initiatives (10%)
- Partner with the Program Director to monitor and evaluate program effectiveness using qualitative and quantitative research techniques; investigate trends and recommend and implement modifications to improve program effectiveness, particularly around the student experience
- Create and maintain the Program Coordinator's Manual
- Collaborate with other program coordinators for shared activities including course scheduling with the Registrar, managing shared resources (parking), student surveys, bookstore liaison, Fuqua course registration, etc.

Minimum Qualifications
Education
Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
Experience
Work requires three years ofexperience in program administration or OR AN EQUIVALENT COMBINATION OF RELEVANT EDUCATION AND/OR EXPERIENCE involving academic, instructional or counseling activities to acquire skills necessary to plan, coordinate and implement a variety of programactivities and events.
