We’re looking for an organised, customer-focused and proactive Events Coordinator to join the Events team at St Antony’s College.
Reporting to the Head of Operations, you will play a key role in coordinating internal seminars, conferences and teaching events, as well as managing external bookings. You will be the first point of contact for event enquiries, ensuring all bookings are handled professionally, efficiently and in a timely manner.
About the role
St Antony’s hosts around 15–20 seminars and events each week during term time. You will support this busy academic environment by organising accommodation and rooms, ensuring a consistently high standard of service.
Working as part of a small, collaborative team, you will balance academic priorities with external bookings, taking account of commercial considerations while supporting student life and College activity.
Key responsibilities
- Manage room and accommodation bookings for internal and external events
- Act as the main contact for event enquiries
- Provide accurate quotes for hospitality and room hire
- Communicate changes, cancellations and new bookings promptly
- Prepare contracts and invoices, including VAT requirements
- Maintain accurate booking system records and conference information
- Welcome external organisers and provide event information
- Support selected events in person, including occasional evenings and weekends
- Produce weekly reports and maintain accurate records
- Review and improve administrative processes to ensure efficiency
About you
You will have:
- At least one year’s experience in events management (hospitality or education)
- Excellent IT skills (including MS Office) and willingness to learn new systems
- Strong customer service and communication skills
- High attention to detail and strong organisational ability
- The ability to work independently and use initiative
- A calm and effective approach under pressure
- A hands-on, team-focused attitude
You will also be flexible, with willingness to work occasional weekends, early starts or late finishes.
