Events & Operations Manager
POSITION SUMMARY
The Events & Operations Manager oversees daily operational services across all campuses, including event setups, logistics, mailroom operations, cross-campus deliveries, and asset support. With the Operations Program Assistant role absorbed into this position, the Manager now carries all administrative and coordination responsibilities—including mail chargebacks, invoice processing, procurement tracking, asset system updates, and fleet reporting.
The Manager leads the operational execution of campus events, ensuring that room configurations, setups, equipment, and support services meet the standards and requirements established by the Director of Events & Operations.
The Manager supervises the Materials Handler II, ensuring consistent campus readiness and smooth delivery of events and operations services. The Manager also provides oversight and coordination of student workers and work study staff supporting events and operational functions.
DUTIES & RESPONSIBILITIES:
Event & Operational Management
- Manage event setups, layouts, and room configurations across all campuses.
- Implement the Directors event intake standards and ensure operational readiness for all scheduled events.
- Oversee event turnovers, space resets, and time-sensitive room changes.
- Coordinate with internal departments to ensure event requirements are met and communicated clearly.
- Monitor campus readiness and respond to operational issues as they arise.
Logistics & Mailroom Operations
- Manage daily logistics: deliveries, materials movement, equipment transport, and staging.
- Oversee mailroom operations, including chargebacks, internal tracking, and distribution coordination.
- Ensure timely movement of materials between CentreTech, Lowry, and the Centennial campus.
Administrative Responsibilities
- Process and track invoices, procurements, and operational purchases.
- Maintain asset management systems and ensure accurate tagging and documentation.
- Oversee fleet mileage logs, fuel tracking, and vehicle service scheduling.
- Maintain operational records, schedules, service logs, and inventory lists.
- Ensure documentation meets institutional standards for audit and compliance.
- Tracks and coordinates student worker hours, assignments, and coverage to support operational and event needs.
Supervision & Daily Coordination
- Supervises the Materials Handler II, including task assignment, workload expectations, and operational direction.
- Coordinates with Custodial Supervisors to align daily custodial operations with event needs, including room turnovers, readiness standards, and real-time priority adjustments on event days.
- Maintains clear documentation of daily operational expectations.
- Supervises and provides day-to-day direction for student workers and work study staff supporting event setups, logistics, and operational services.
- Coordinates scheduling, task assignments, and performance expectations for student workers to ensure alignment with operational needs and event requirements.
Campus & Division Collaboration
- Work closely with Facilities, Security, IT, Fiscal Services, Student Success, and Academic Affairs on operational needs.
- Participate in planning meetings for major campus events such as commencement and high-impact Student Success activities.
- Assist the Director in developing operational workflows, schedules, and improvement recommendations.
REQUIRED QUALIFICATIONS:
- Associates Degree in business Administration, Operations Management, Facilities Management, Logistics/Supply Chain, Event Management, or a closely related field, or an equivalent combination of education and relevant experience.
- 3 years of operational, event, facilities, or logistics experience.
- Experience supervising staff or directing daily work.
PREFERRED QUALIFICATIONS:
- Experience with event management software or scheduling systems.
- Experience in higher education, public-sector operations, or multi-site environments.
- Strong coordination and communication skills in fast-paced operational settings.
WORKING CONDITIONS:
- Requires regular travel across campus locations.
- Requires standing, walking, lifting, and physical coordination during events and operational setups.
- Early mornings, evenings, or weekends may be required during peak event periods.
SUPPLEMENTAL INFORMATION
Salary Range: Anticipated salary range is $75,000.00 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information.
