About the opportunity

The Daffodil Centre is a Flagship Research Centre at the University of Sydney and is a partnership between the University and Cancer Council NSW.

We have an amazing opportunity for an Executive and Administrative Assistant to join the Daffodil Centre in a pivotal role providing high-level executive and administrative support to our Director, Professor Anne Cust, and the Research Operations and Support (ROSE) team. In this varied and dynamic position, you will be at the heart of our Centre's operations, coordinating communications, managing enquiries, and ensuring the smooth delivery of day-to-day administrative functions. You'll work closely with a collaborative and supportive team, contributing to meaningful projects and events that advance the Centre's important work in cancer research and prevention, whilst also having the opportunity to work independently and autonomously, when required.

Your key responsibilities will be to:

  • Provide high-level executive and administrative support to the Centre Director and Research Operations and Support (ROSE) team, ensuring efficient day-to-day operations and seamless workflow.
  • Manage email triage, correspondence, and information flow, prioritising tasks and maintaining timely, professional communication with internal and external stakeholders.
  • Coordinate meetings, events, and activities, including scheduling, agendas, venue bookings, catering, travel arrangements, and other logistical requirements.
  • Serve as the main point of contact for the Centre, managing enquiries, maintaining affiliate records, and updating key administrative systems such as mailing lists and distribution lists.
  • Support HR, finance, and procurement processes, including payment processing, expense reconciliation, and record-keeping in line with University policies.
  • Assist with communications and marketing activities, including preparing newsletters, supporting internal initiatives and activities, and contributing to the delivery of major Centre events.

About you

  • Bachelor's degree in a relevant field or equivalent combination of training and experience.
  • At least two years' experience in executive assistance or administrative roles.
  • A strong passion for effective communication, with strong interpersonal skills to build positive working relationships across diverse stakeholders.
  • Excellent organisational skills and attention to detail, with the ability to manage shifting priorities and competing deadlines in a dynamic work environment.
  • Proficiency in computer literacy, including the Microsoft Office suite, and experience with email management, diary coordination, and maintaining administrative systems.
  • Proven teamwork skills, with a flexible and collaborative approach to supporting colleagues and delivering high-quality administrative outcomes.
