About This Opportunity

We are seeking a motivated and experienced Executive Assistant to provide high-level support to the Faculty Executive Manager and the Office of the Executive Dean. You will have administrative or executive experience, excellent communication skills, and the ability to prioritise tasks and work independently to meet deadlines.

This role is part of a small, high-performing team that provides purposeful support to the Faculty of Science leadership. You will work collaboratively with diverse internal and external stakeholders, ensuring smooth operations and contributing to key projects and events. Your professionalism, initiative, and contributions will be valued, recognised, and impactful in a supportive, collaborative, and purpose-driven environment.

Key responsibilities will include:

  • Manage the Executive’s day-to-day schedule, including diary management, correspondence, meetings, communications, and travel arrangements.
  • Provide administrative and secretarial support to boards, committees, and key divisional projects, events, and conferences.
  • Prepare briefings and background information to support senior or executive staff for meetings.
  • Monitor and support the day-to-day flow of activities within the executive office.
  • Liaise with internal and external stakeholders, responding to enquiries and coordinating follow-up actions as required.
  • Oversee financial processes, including reimbursements, expenses, and account reconciliation, in line with University policies and delegations.

About You

  • A bachelor’s degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training
  • Excellent organisational and time management skills as well as a commitment to a high level of client-focused service
  • A keen eye for detail combined with sound problem solving skills to proactively identify and resolve or redirect issues
  • Excellent stakeholder management skills, such as the ability to effectively handle, escalate and follow up with stakeholders
  • Excellent interpersonal and verbal/written communication skills, including the ability to communicate effectively with people from diverse backgrounds and experiences

Full-time permanent position
Base salary will be in the range of $82,133.76 - $91,295.50 + 17% Superannuation (HEW Level 5)
Based at our St Lucia location
