Executive Assistant - School of Music

About This Opportunity

Join a vibrant and creative community as the Executive Assistant to the Head of School, School of Music. This is a trusted and influential role where your expertise will directly support senior leadership and contribute to the smooth and successful operation of the School.

Working at the centre of the School, you will partner closely with the Head of School and leadership team, engage with a diverse range of stakeholders, and use your organisational skills, judgement and initiative to manage priorities, prepare budgets and reports, and proactively resolve issues.

Key responsibilities will include, but are not limited to:

  • Ensure the smooth running of the Executive's day-to-day work schedule, including managing the electronic diary; coordinating incoming correspondence/enquiries; scheduling meetings/activities and engagements; coordinating communications; and coordinating travel.
  • Proactively planning, coordinating, and supporting key divisional projects, events, and conferences, including managing logistics and anticipating potential scheduling conflicts.
  • Oversighting and coordination information flow and daily administrative activities within the Executive office.
  • Liaising with staff and students across all levels of the University, as well as representatives from government, industry, and the wider community, and initiating follow-up actions as required.
  • Managing financial administration, including reimbursements and expenses, in accordance with University financial policies and procedures.

About You

  • A bachelor’s degree with subsequent relevant experience; or completion of an Advanced Diploma qualification and at least two years subsequent relevant work experience; or completion of a Certificate IV and extensive relevant work experience; or an equivalent combination of relevant experience and/or education/training.
  • Excellent organisational and time management skills as well as a commitment to a high level of customer service.
  • High level of organisational skills, including the ability to prioritise competing work demands and meet deadlines, whilst maintaining accuracy and attention to detail.
  • Advanced stakeholder management and engagement skills.
  • Excellent time management skills.
