Here’s how you will support our mission
The Executive Assistant to the Vice President for Administrative Services supports CBC’s mission by providing high-level, confidential administrative and operational support to ensure the smooth functioning of the Administrative Services division. This position manages complex scheduling, communications, records, and contract processes while coordinating key meetings, travel, and events. By exercising independent judgment and maintaining meticulous attention to detail, the Executive Assistant helps align Administrative Services operations with the College’s commitment to excellence, equity, and service to students, employees, and the community.
This position reports directly to the Vice President for Administrative Services.
The salary range for this position is $73,012- $80,706.
This position is receiving applications until February 22, 2026 at 11:59 PM PST. The College will conduct initial interviews with selected candidates via Zoom and will conduct on-campus interviews with finalists.
Primary Responsibilities
- Arrange/coordinate appointments, meetings, itineraries and travel;
- Support the VPAS by coordinating activities and schedules across administrative services;
- Maintain records and organize filing and archive systems to facilitate the expeditious retrieval of information;
- Prepare, process and communicate information regarding personal services contracts and other outside agencies, special off-campus contracts and/or agreements, and other event details;
- Work closely with Facilities and Capital Projects leadership to ensure clear communication and appropriate use of campus facilities and grounds, minimizing disruptions and preventing damage during operations, events, and capital projects;
- Work collaboratively with Department of Enterprise Services staff on project advertisements, contractor bidding, invoice processing, and project closeout activities, as needed;
- File, maintain, and manage construction project records and attend project meetings as necessary;
- Perform a wide variety of complex and responsible administrative and clerical support duties while exercising discretion and maintaining confidentiality;
- Comply with the WAC governing the use of college facilities for instruction, students and community activities;
- Review and make improvement recommendations for Administrative Services policies, procedures, and guidelines;
- Maintain and update various Administrative Services webpages on the College's website;
- Work both independently and collaboratively on special and ongoing projects; and
- Perform other duties as assigned.
Required Qualifications
- Associate's degree or equivalent from an institutionally accredited college or university; and
- Five (5) years of progressive administrative/secretarial experience.
OR
- Bachelor's degree or equivalent from an institutionally accredited college or university; and
- Three (3) years of progressive administrative/secretarial experience.
OR
- Equivalent combination of education and progressively responsible experience that demonstrates the ability to perform the essential duties of the position.
AND
- Three (3) years of experience working in a public facing position;
- Two (2) years of experience working in position(s) demonstrating high-level administrative support skills; and
- In-depth computer proficiency with Microsoft Office (Outlook, Word, Excel, PowerPoint); proficiency in the use of other office equipment and software.
PREFERRED QUALIFICATIONS:
- Experience working with Contracts and Agreements;
- Experience working in a higher education setting; and
- Experience with event planning and execution.

Terms of Employment
Columbia Basin College is unable to sponsor or assume sponsorship of employment visas (e.g., H-1B) at this time. Applicants must be authorized to work in the United States for any employer without sponsorship.
This is a full-time, overtime-eligible, professional staff position. The typical work hours for this position are Monday through Thursday 7:00 a.m. to 4:30 p.m., and Friday 7:00 a.m. to 12:00 p.m.; however, work hours may vary due to work demands and some evening and weekend work may be required.

Successful candidates must meet the following requirements:
- Provide proof of lawful permanent residency or other appropriate work authorization as required by the Immigration Reform Control Act of 1986.
- Disclose any substantiated findings or any ongoing investigations related to sexual misconduct as required by RCW28B.112.080.
- Pass a criminal background check. Note: information learned during the criminal background check will not necessarily preclude employment but may be a factor in eligibility for the position.

Physical Requirements
While performing the duties of this position, the employee is frequently required to sit, stand, bend, kneel, stoop, communicate, reach and manipulate objects. The position requires mobility including having the ability to move materials on a regular basis such as files, books, office equipment, etc. and travel between buildings on campus. Manual dexterity and coordination are required to operate equipment such as computer keyboard, calculator, and standard office equipment.
Work Conditions
Work environment includes office and other settings as appropriate. The noise level in the work area is typical of most office environments with telephones, personal interruptions, and background noises. There is an occasional need for travel.
