The role
The Faculty Executive Team in Arts, Law & Social Sciences is looking to appoint an outstanding full-time Executive Assistant. You will be a key member of the Executive Team and will work closely with colleagues in the team to provide high quality executive administration to the Faculty Leadership Team. This is an exciting opportunity to join a large and dynamic Faculty, working collaboratively with colleagues across the Faculty, central divisions and Schools to deliver excellent service provision for all staff.
What will you be doing?
The Executive Assistant will work closely with the Executive Administration Manager to ensure key Faculty activities are managed and delivered on time, while providing professional, efficient and effective support to the Faculty Leadership team and Faculty staff.
Key duties include:
- Supporting senior colleagues in the Faculty Leadership Team with a range of activities including diary management, acting as primary contact for all their enquiries, and maintaining discretion and confidentiality as required.
- Committee servicing including drafting agendas, preparing papers, minute-taking, identifying action points and following up on actions.
- Arranging and booking national and global travel and accommodation, and completion of expenses.
- Supporting the planning and organisation of internal and external conferences and events and staff meetings by assisting with venue/room bookings, ordering catering.
- Meeting and greeting external high-profile visitors.
- Proactively reviewing, maintaining and developing new systems and processes including keeping resources up to date on the Faculty SharePoint, Intranet, and web pages.
- Independence and initiative will be required to balance changing priorities and circumstances.

- You can work in a busy, positive environment, both multi-tasking and reacting quickly to changing circumstances, but also be proactive in improving processes.
- You are experienced in using a range of IT systems, have good digital skills and can adapt to new systems and processes quickly.

Contract type: Fixed term until 31/12/2026
Work pattern: 35 hours/week
Shift pattern: Monday - Friday
