Department Summary
The Division of Enrollment Management seeks a highly organized and resourceful professional to serve as Executive Office Administrator, providing executive-level administrative and operational support to the division's leadership team. Reporting to the Director of Division Operations, this position manages the daily functions of the executive office, coordinates complex scheduling and workflows, leads and supports strategic projects, and facilitates effective communication with University stakeholders and external partners in alignment with division priorities. The role requires exceptional judgment, discretion, organization, and the ability to anticipate needs and manage multiple priorities in a fast-paced environment.
As a key member of the division's administrative team, the Executive Office Administrator will strategically manage executive schedules, coordinate meeting preparation and time-sensitive requests, and support research, communications, reports, presentations, data collection, and other materials that advance divisional priorities and the University's strategic enrollment efforts.
Position Profile
Provides a broad range of administrative services critical to the operations of a college, division, or department. Implements unit-wide projects and initiatives. Oversees administrative processes, determines workflows, manages schedules, prepares documents, plans and coordinates travel, meetings, and events. Performs independent analysis and oversees the collection and analysis of data used to develop reports, communications, and proposals. Provides input into unit strategic planning.
Level Summary
Provides professional expertise to the University community. Serves as a resource and guide to others in the department and/or university. Completes operational tasks essential for the daily functioning of the University. Additionally, contributes to larger projects or initiatives that align with department or University goals, often collaborating across teams.
Supervisory Responsibilities
May assist in mentoring or training new employees.
Fiscal Responsibilities
No budgetary responsibility. May be responsible for validating transactions.

Handles a variety of problems with some independence.

Some supervision; able to work independently on routine tasks.

Physical Requirements
This role is primarily desk-based and involves extensive use of desktop computers. Occasionally, the job may require travel to attend meetings and programs.
Minimum Qualifications
Requires a Bachelor's degree in a related field and 3-5 years of related professional experience, or equivalent education and experience.
Preferred Qualifications
- Experience supporting complex administrative or executive office operations.
- Experience in enrollment management, higher education, or a related setting.
- Advanced proficiency with Microsoft Office, particularly Excel.
- Experience supporting HR processes, such as hiring, onboarding, payroll, position management, or employee records.
