Executive Officer, Committees, Bond University: What the Job Actually Involves

Where University Governance Meets Daily Committee Work

Where University Governance Meets Daily Committee Work

Executive Officer, Committees at Bond University is not a minute-taking job. It is a governance coordination role, and the quality of the hire decides whether agenda papers arrive on time, whether actions actually get closed, and whether the university's committee structure stays coherent as decisions move through it without creating legal or regulatory noise.

You will read the title and think secretariat. Fair enough. The work sits inside that world, but at a university where the academic year runs across three semesters, the committee rhythm does not pause the way it does at a two-semester institution. Bond University operates from its Gold Coast campus at Robina and has built its governance around a compact, private, not-for-profit model. That changes the pressure on the person managing committee operations.

If you've worked in board or committee support in a corporate, government, or higher education setting, you already know the basics. The difference here is the mix: academic governance, regulatory expectations, and a university that moves faster than most of the sector finds comfortable.

What the Executive Officer Actually Does

The role exists to make committees function. That means more than sending calendar invites.

  • Agenda planning: working with the chair and relevant executives to set meeting agendas, gather papers, and keep the committee focused on decisions rather than information dumps that waste an hour.
  • Minutes and action registers: recording decisions, owners, due dates, and follow-up requests in language that holds up six months later when someone asks why a policy changed.
  • Governance advice: knowing the committee's terms of reference, delegated authority, the difference between an item for noting, discussion, or decision, and the committee's history on similar items.
  • Stakeholder follow-up: chasing actions without becoming the university's least popular person, which is a skill in itself.

At Bond, the Executive Officer, Committees is likely to be a central point between senior leadership, the university secretary or governance team, and the academic and professional units feeding papers into each meeting. You'll need to understand both the formal governance structure and the informal way things actually get signed off. Committees at Bond typically include an Academic Senate, teaching and learning committees, research and research training committees, and risk or audit functions. You'll be translating technical academic issues into clear agenda papers, and you'll do it under time pressure.

Bond University's Governance Rhythm

Bond University opened in 1987 as Australia's first private, not-for-profit university. That identity matters for this role. A not-for-profit university still answers to the Tertiary Education Quality and Standards Agency (TEQSA) and, as a charity, to the Australian Charities and Not-for-profits Commission. Committee decisions often need to satisfy both regulators, not just internal policy.

The job is advertised on Bond University's jobs site, and it carries the reference number 11251. The title itself tells you the role sits inside a structured committee system. Most Australian universities run an academic senate, a governing council, and a range of subcommittees covering learning and teaching, research, risk, and audit. The Executive Officer, Committees keeps those moving.

Bond's three-semester timetable means committee cycles align with shorter teaching periods. Semesters typically start in January, May, and September. What would be a quarterly meeting at another university can become a fast-moving schedule with fewer natural gaps. That's good if you like momentum. It's punishing if you prefer long lead times. The campus at Robina is compact and professionally oriented, which often means fewer layers between a committee decision and the person who has to carry it out.

The Shortlist Is Built on Governance Judgment, Not Just Minutes

Most applicants will list minute-taking, diary management, and stakeholder liaison. That won't separate you. The candidates who get interviews show they understand what a committee is for: to test recommendations, record decisions, give governing bodies confidence, and keep an auditable trail.

You should be able to answer questions like these in a cover letter or interview:

  • How do you handle a late paper from a senior executive when the agenda is due?
  • How do you record a committee decision when the discussion was unclear but the chair expects a clean minute?
  • What's the difference between a committee's terms of reference and its delegated authority?
  • How do you manage action items when three different owners keep missing their deadlines?

Bond University's committee governance framework links to its obligations under the Tertiary Education Quality and Standards Agency. If you can speak to the Higher Education Standards Framework, especially the standards around corporate and academic governance, you'll sound like someone who has done the reading. You don't need to be a lawyer. You do need to show you can interpret a policy and apply it to a meeting agenda.

Because Bond is a not-for-profit, committee records may also need to reflect ACNC governance standards around duties and conflicts of interest. That is not an abstract compliance point. It shows up in minutes, declarations, and the way action items are framed.

How to Apply Without Wasting the Committee's Time

You don't need to be a Bond insider to make a strong application. You need to show evidence against the selection criteria, and you need to do it quickly and specifically. Committee roles attract a lot of generic corporate applications. Your first paragraph should name the role, the university, one concrete governance outcome, and the date it happened.

Prepare these before you open the application form:

  • Download the position description from the Bond jobs site and read the selection criteria twice.
  • For each criterion, write a short paragraph using the STAR structure: situation, task, action, result. Keep it tight. Committee work needs precision.
  • Double-check the application deadline and the required document format. Bond University's portal may ask for a resume and a separate response to selection criteria.
  • Check the Bond University jobs portal's file size and preferred formats before you upload, so the system doesn't reject your application.

The same role is mirrored on AcademicJobs.com's university jobs board, which is useful if you want to save the listing and compare it with similar governance and executive officer positions across Australian universities.

If your current title is committee secretary, board administrator, governance officer, or executive assistant to a university committee, this role is a natural step. If you're coming from outside higher education, focus your materials on decision tracking, policy interpretation, stakeholder management, and evidence of meeting cycles you've managed alone.

Don't say you have strong attention to detail. Show it. If you've written minutes for a risk committee, say how many papers you collated, how many days before the meeting they went out, and how you handled late items.

One Thing to Do This Week

Pull the position description. Then map your three strongest examples of committee or governance work against the first three selection criteria. If you can't do that in under an hour, don't submit a long application. You need sharper examples first.

The application is already live. The universities that make these hires well move fast, and so should you.

You record decisions and you make sure the committee operates within its terms of reference and delegated authority.

🎓What qualifications does Bond University look for?

Most candidates have a relevant degree or equivalent experience in governance, law, public administration, or business. More important is demonstrated committee support experience, policy interpretation, and the ability to write clear minutes under pressure.

💼What is it like to work at Bond University?

Bond is Australia's first private not-for-profit university, opened in 1987. The three-semester calendar makes the tempo faster than a traditional two-semester university.

🗂️What committees would an Executive Officer support?

At most Australian universities this includes the academic senate, teaching and learning committees, research and research training committees, and risk or audit committees. At Bond the exact portfolio will be in the position description. You will need to learn the committee's terms of reference and reporting lines quickly.

Accuracy in minutes, action tracking, stakeholder follow-up, and policy interpretation. Candidates who understand TEQSA and ACNC governance expectations tend to stand out. Show concrete examples rather than generic claims about attention to detail.

🏢Can I work remotely in this role?

Most committee support roles at Bond University are campus-based because meetings often require in-person attendance and confidential paper handling. Check the position description for any hybrid or remote work arrangements, but don't assume full remote is available.

Yes, the role is mirrored on AcademicJobs.com at the university jobs board. You can use that listing to compare it with other governance and executive officer positions across Australia.

📅How long does Bond University take to hire?

University hiring timelines vary. The best candidates keep their application current and respond quickly to interview requests. The position description may indicate a target date, but the safest approach is to apply as soon as you have strong examples mapped to the criteria.
