Executive Secretary
Position Purpose: Provide a high-level of administrative support of a confidential nature, requiring independent judgment and planning, for the Senior Vice President for Finance and Administration and other leaders within the Division as needed. Facilitate the submission process within designated timelines for all Finance and Administration materials to the Board of Trustees for working sessions and formal meetings. In order to achieve the Division goals and objectives, the Executive Secretary must have the ability to be flexible and handle multiple projects simultaneously, prioritizing them appropriately.
Minimum Qualifications:
- Associate's degree in business or a related field or an equivalent combination of education and/or experience.
- A minimum of three (3) years' experience in prioritizing work and meeting deadlines for an executive level leader.
- Ability to manage multiple calendars.
- Knowledge of proper grammar, spelling and punctuation, document organization and presentation.
- Knowledge of paper and electronic file organization and management.
- Ability to compose routine correspondence.
- Advanced Word and Excel skills.
- Excellent organizational and analytical skills.
- Detail oriented with the ability to track deadlines.
- Ability to communicate effectively with the public, students, faculty, and staff.
- Ability to work well with upper management and on highly confidential matters.
- Ability to manage assigned projects independently or with minor guidance.
- Notary Public License or obtain within 12 months.
Desired Qualifications:
- Bachelor's degree.
- Formal qualifications in English language usage preferred.
- Facile with Google Suite.
- Proficiency in PowerPoint.
- Comfortable with new and changing technologies.
