Facilities Digital Archivist
The University of Pennsylvania is a world-renowned leader in education, research, and innovation. The Division of Facilities and Real Estate Services (FRES) manages physical buildings, equipment, infrastructure, and landscapes, generating significant digital and analog records.
This role involves managing and preserving records such as building plans, specifications, submittals, maintenance information, warranties, and reports. Responsibilities include scanning, organizing, and preserving documents; tracking document usage; handling data entry; and generating reports for efficiency and compliance.
- Archival ingestion of construction documentation into the Falcon Electronic Document Management System (EDMS).
- Evaluate and manage database records and user access.
- Assist customers with searches, reports, and training.
- Support project close-out procedures and maintain storage systems.
- Collaborate on evaluating hardcopy drawings for scanning.
- Provide customer support for drawing searches and reports.
- Maintain hardcopy prints and assess new technologies.
Qualifications include an Associate's Degree in a related field, at least 2 years of experience, knowledge of AutoCAD, Adobe Design Suite, and Microsoft Office, and familiarity with construction documentation.
