Recruitment Range:
$40,000 - $45,000 The salary range advertised is the designated recruitment range for this classification. Final salary offers will be determined by the candidates education, relevant experience, internal equity alignment, and departmental budgetary parameters.

Primary Purpose of Organizational Unit:
The Facilities Administration department provides administrative support to the Facilities organization which includes Architecture and Construction Services, Project Management and Physical Plant. Services include, but not limited to, operational processes of procurement, campus-wide work management system, special and capital project accounting and process, materials warehouse and inventory management, asset management, systems management and training, staff and position management, hiring, leave keeping for multiple employee types, budgeting, planning and finance duties; reporting including state level, creating and maintaining policies and procedures, re-engineering administrative processes and work design; compiling plans and assessment data; and leading department directors with budgetary expertise. Accounting services include management and billing of utility accounts, university-wide billing of work orders, and cost studies as directed by the Associate Vice Chancellor and others. This unit is a resource and liaison for the University's Finance, Budget and Human Resource departments, and also serves as a customer care and problem resolution office.
This position has been designated as mandatory personnel for the University and may be required to report to work during adverse weather conditions, even thought the University may be operating on an alternate schedule.
Brief Summary of Work for this Position:
Responsibilities Include:
- Act as the lead administrative support role to new and existing staff regarding leave keeping entry, training and leave balance inquiries for 250+ Facilities staff.
- Reviews and audits SharePoint (system used for recording and requesting time off). This includes verification of requested time with SmartTime entries for all Maintenance & Operations personnel.
- Understands policies governing overtime, on-call, shop schedules, community service and all types of plant operations surrounding time keeping for proper time entry review.
- Manages mandatory and non-mandatory training by staff members through the AiM system. Notice and schedule training through email, phone calls, and in-person communication. This includes communicating with employees and following up with record-keeping in AiM.
- Performs semi-annual DL checks for compliance with policy 05.350 Operation of State - Owned Vehicles.
- Manages mandatory labor notices and other pertinent employee information bulletin boards in multiple areas.
- Maintains and scans electronic files, and trains supervisors how to use the system, regarding staff documentation using ImageNow system.
- Assists with recruiting and interviewing panels each month or more.
Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred Education, Knowledge, Skills & Experience:
- Proficiency with Microsoft Word and Excel.
- Experience with AiM, ImageNow or SmartTime or comparable work management and time keeping systems.
- Ability to communicate in a friendly, helpful manner with various levels of personnel.
- Ability to interpret leave system reports.
Required Certifications or Licensures:
Valid NC Driver's License or the ability to obtain within 30 days of hire.
