Position Information:
UC Riverside's Housing Services is recruiting for Facility Operations Assistant. The full salary range for the Facility Operations Assistant is $29.35 - $42.06 per hour. However, the expected pay scale for this position is up to $32.18 per hour. We base salary offers on a variety of considerations, such as education, licensure and certifications, experience, and other business and organizational needs.
The Facility Operations Assistant supports the daily functions of both Housing Services and Auxiliary Facilities through a shared reporting structure. This cross-functional role requires clear communication, strong organization, and the ability to manage priorities across both departments. Provides administrative support to both departments on scheduling, calendar management and organizational needs. Intakes, triages, creates, and follows up on student/customer work requests to ensure work order completion. In collaboration with Housing and Aux Facilities, creates and oversees housing turnover schedules, and quality control mechanisms. Serves as a resource for residents, staff, conference guests, visitors, vendors, strategic partners, and other campus departments by phone, e-mail, and in-person. Maintains compliance with various safety inspections and other reporting/record-keeping requirements; organizes records, files, and departmental logs. Provides backup support to other departments Operations Assistant.
Required to hold valid driver's license, have a driving record that is in accordance with local policies/procedures, and/or enroll in the California Employer Pull Notice Program.

Educational Requirements
- Bachelor's degree or education equivalent to college level coursework in a related field.

Experience Requirements
- 5 years of administrative experience in an office environment providing administrative support to staff, customers, visitors etc; or an equivalent combination of education and experience.

- Experience in a customer service-oriented environment responding to and meeting/exceeding the needs of the customer.

- Experience organizing and prioritizing workloads to meet multi department cross functional deadlines and objectives.

- Experience in facilities operations, triaging calls, creating work orders, complaint resolution, and performing building and safety inspections.

- Experience with facilities-related work order systems.

- Experience providing extensive administrative support in a higher education environment to students, residents, staff and faculty.

- Experience in a lead or supervisory role responsible for hiring/staffing, training, directing work assignments, performance management, discipline and complaint resolution.

Minimum Requirements
- Skill in listening, anticipating and responding to the needs and/or requests of staff and customers. Ability to identify with the customers perspective and maintain a commitment to excellent customer service.
- Ability to generate reports on a frequent basis or ad hoc as needed. Ability to oversee and maintain the departmental master calendar.
- Knowledge of and/or experience with program coordination, event planning/coordination, outreach activities, etc. Ability to collaborate and/or serve as liaison or control point between the department and internal/external service providers.
- Working Knowledge in Building, Custodial, and Maintenance Operations.
- Ability to organize tasks, documents, materials and systems with efficiency and accuracy. Skill and ability to maintain and oversee accurate record keeping with strict attention to detail.
- Proficient knowledge and ability using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Skill in making appropriate job decisions following established policies and procedures, or practices. Skill in independently researching questions and making appropriate recommendations, or making appropriate contacts for problem resolution. Skill in using professional and sound judgement to address issues or concerns.
- Ability to compose, proofread, edit and/or approve grammatically correct and accurate correspondence, memos, flyers, presentations, etc.
- Skill and ability to understand, interpret and/or apply the department's/university's policies and procedures to customers and requests.
- Exceptional communication skills, verbal and written, and ability to interact effectively with departmental staff as well as campus and outside community members. Interacts with tact and diplomacy at all times.
Preferred Qualifications
- Knowledge of UCR Housing Services' policies and procedures, protocols and systems.
- Knowledge of UC policies and procedures, protocols, systems, and other UC directives.
Key Responsibilities:
- 35%: Participate in building inspections, noting interior and exterior facility conditions. Notify Senior Housing Operations Manager (Sr. HOM) and Aux Facilities Customer Service Manager (CSM) of any trends or discrepancies. Coordinates residential facility access, conducts regular inventory of keys and card access. Interprets and enforces access control policies and procedures for the community. Serves as liaison and access control point between Housing Services, service providers, Residential Education, maintenance, custodial, pest control and other external vendors. Participates in move-in/out planning and coordination processes.
- 20%: Monitor incoming work orders, ensuring accurate categorization, prioritization, and timely assignment to the appropriate personnel. Track the progress of assigned work orders, proactively following up with staff and supervisors to ensure timely completion and adherence to departmental quality standards.
- 10%: Provides general administrative support to the Sr. HOM and CSM, helping with day-to-day tasks, processes, and communication to meet resident needs. Helps share updates about operational needs and supports simple, cost-effective solutions.
- 10%: Provides front-line support by communicating Housing & Auxiliary Facilities policies, coordinating resident check-ins/outs, relocations, and maintaining confidential records. Assists with common residential issues and supports procedure documentation and calendars. Collaborates with campus partners to coordinate event logistics, summer housing operations, and respond to guest inquiries regarding assignments, services, and registration.
- 10%: Manage multiple calendars, coordinate meetings and events for Housing Services and Aux Facilities, and ensure schedules align with departmental priorities. Act as the main contact for scheduling inquiries and provide back-up support to both offices as needed.
- 10%: Supports Sr. HOM and CSM with budget reports, monthly reviews, and new initiative proposals. Processes manual billing for routine and ad hoc resident and guest fees in the student information system.
- 5%: Helps track and check the condition of facility items like furniture, A/V equipment, computers, office supplies, and department vehicles.
