Āu Mahi | What You Will Do
We are seeking an experienced and highly organised administrator to join the Faculty of Arts as a Faculty Office Administrator. This role is the first point of contact for students, staff, and visitors and plays a key role in ensuring the smooth day-to-day operation of the Faculty Office.
You will provide frontline reception and administrative support, assist with student enquiries, support academic staff and Deans, and coordinate a range of office and operational activities. This role requires someone who can confidently manage competing priorities while delivering professional and responsive customer service.
Key responsibilities include:
- Providing professional reception and enquiry support for students, staff, and visitors
- Triaging student enquiries and providing initial academic and procedural advice
- Managing shared faculty email inboxes and telephone enquiries
- Coordinating meetings, room bookings, agendas, and minute taking
- Supporting student administration processes and maintaining accurate records
- Providing administrative support to the Deans, Student Advisors, and academic staff
- Assisting with Faculty events, office coordination, and general administration support

This role will suit an experienced administrator who enjoys working in a highly service-oriented environment and can confidently balance frontline engagement with detailed administrative responsibilities.
You will bring a calm, professional, and proactive approach, with the ability to manage multiple priorities while maintaining exceptional attention to detail and strong interpersonal relationships.
You will also be able to demonstrate experience in:
- At least 4 years’ administration and reception experience within a medium to large organisation
- Strong customer service and stakeholder relationship skills
- Excellent organisation, time management, and attention to detail
- Confidence using Microsoft Office and database systems
- Strong written and verbal communication skills
- The ability to work effectively in a busy environment with changing priorities
- A collaborative, professional, and proactive approach
- Previous experience within a tertiary environment or familiarity with university systems would be advantageous

Mahi Ngātahi | Who You Will Work With
You will work closely with the Academic Services Manager, Deans, Student Advisors, academic staff, and professional services teams across the Faculty of Arts. This role plays a critical part in ensuring students and visitors receive a positive and professional experience while supporting the effective operation of the Faculty Office.
