Federal Work Study Payroll Coordinator
POSITION DETAILS
The City University of New York’s Office of Treasury Management (OTM) plays a critical role in the University’s operations by overseeing four key financial areas: Bursar, Cash Management, Payment Card Industry Compliance, and Treasury Operations. Reporting to the Assistant Director of Treasury Operations for Federal Work Study, the Federal Work-Study (FWS) Payroll Coordinator supports the day-to-day administration of the biweekly payroll for FWS students, ensuring timely and accurate processing across 26 CUNY Colleges. The position supports compliance with Federal, State, City and CUNY regulations.
Responsibilities include but are not limited to the following:
- Help coordinate payroll and employment tasks for Federal Work-Study across CUNY Colleges.
- Communicate payroll activities, deadlines and statuses with college staff; participate in developing/maintaining the annual payroll calendar.
- Research and evaluate issues raised by colleges pertaining to processing, errors, and enhancements; identify, coordinate, and communicate issues to the appropriate technical and operations staff, committees, and management monitoring their resolution.
- Attend university-wide FWS meetings each month and contribute guidance and training for college FWS Coordinators.
- Design and update training resources and reference documents.
- Assist with the year-end and new-year payroll cycles, including tax reporting and W-2 form activities.
- Check daily system reports to verify accurate processing of student employment records.
- Investigate and resolve college payroll queries, tracking cases until resolved.
- Manage uncashed or undeliverable checks, electronic refund rejections, and stop payment requests.
- Assist with communications to the colleges and students, updating the system for uncashed and undeliverable checks, rejected electronic refunds, and stop payments, collecting support for audit-related activities.
NOTE: Until further notice, this position is eligible for a hybrid work schedule.
QUALIFICATIONS
Minimum: Bachelor's degree is required.
Preferred:
- Up to two years of experience in a financial aid, bursar, payroll, or student services environment.
- Working knowledge of Title IV financial aid programs and regulations.
- Excellent communication and organizational skills
- Strong attention to detail with the ability to maintain accurate records.
- Proficiency with enterprise and office software applications, including Oracle/PeopleSoft, Workday, and Microsoft Office.
- Ability to follow documented procedures and learn new systems.
