Finance Manager

SCHOOL/UNIT DESCRIPTION:

The Walter H. Shorenstein Asia-Pacific Research Center (Shorenstein APARC) addresses critical issues affecting the countries of Asia, their regional and global affairs, and U.S.-Asia relations. As Stanford University's hub for the interdisciplinary study of contemporary Asia, produces policy-relevant research, provides education and training to students, scholars, and practitioners and strengthens dialogue and cooperation between counterparts in the Asia-Pacific and the United States.

The Center is led by distinguished faculty director and deputy director with extensive records of scholarly and teaching accomplishment in the areas of development, international relations, social movements, health economics, and global health policy.

We are home to dedicated staff and a community of outstanding resident scholars that include academics and practitioners, and each year a new, international group of postdoctoral fellows, research fellows, and visiting scholars.

POSITION SUMMARY:

The Finance Manager, reporting to the Faculty Center Director and working closely with the Associate Director for Administration, oversees the majority of Shorenstein APARC's financial day-to-day operations, planning, and forecasting activities. Responsibilities include, but are not limited to, approving transactions, monitoring expenses, and ensuring that incurred costs comply with and remain within Stanford University's policies.

The role also encompasses financial forecasting for all center revenue sources and expenses, establishing and tracking financial objectives to assess whether the Center is meeting budgetary targets, recommending adjustments to the budget to achieve these targets, preparing the Center's annual budget and submitting it to the University's system, managing mid-year variance reports, and participating in fiscal year-end closing procedures. The Finance Manager convenes quarterly and annual financial meetings with center leadership, develops tools to evaluate the feasibility of the Center's financial commitments and associated trade-offs. The position requires close collaboration with the Associate Director for Administration to monitor and exchange financial data.

CORE DUTIES:

  • Perform structured analysis; conduct data mining; identify, clarify, and investigate discrepancies and exceptions; proactively develop solutions and processes.
  • Maintain, reconcile, review, combine, and validate financial data sets and accounts, utilizing financial reports, financial databases, and key financial information.
  • Contribute to development of budget, forecasting, and analyses to be used for key activities or decision making
  • Run and analyze financial reports, often from multiple systems; assist in preparation of management information reports.
  • Resolve issues within immediate work unit; Perform preliminary analysis, recognize exceptions and recommend solutions that may require policy changes or the development of new processes.
  • Ensure work complies with complex internal policies and external regulations which may require interpretation.
  • Participate as a member of a project team and contribute to change management strategy through communication and collaboration with others.
  • Serve as a first line resource to client groups on matters in work unit.
  • Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.
  • May supervise the day-to-day activities and provide on the job coaching and training to other staff, as needed.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor's degree and two years of relevant experience or combination of education and relevant experience.

Knowledge, Skills and Abilities:
  • Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.
  • User knowledge and demonstrated experience of financial systems; internet and computer literacy.
  • Understanding and ability to apply basic accounting skills and concepts.
  • Demonstrated communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal audiences and client groups.

PHYSICAL REQUIREMENTS*:

  • Constantly sitting.
  • Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.
  • Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.
  • Rarely reach/work above shoulder.

WORKING CONDITIONS:

Routine extended working hours during peak cycles; travel to school/unit sites across university.
