GENERAL STATEMENT OF JOB
The Financial Aid Administrator plays a critical role in ensuring the accuracy and integrity of financial aid awards at Middlesex College. This position is primarily responsible for assisting with the administration of one or more federal, state, or institutional financial aid programs, including the Community College Opportunity Grant (CCOG) and NJ Dreamers program.
SPECIFIC DUTIES AND RESPONSIBILITIES
Essential Functions:
- Oversees the Community College Opportunity Grant (CCOG) program, inclusive of program eligibility, program awarding, and program reconciliation.
- Disseminates CCOG-related work duties to support staff, such as lists of students to review, award, and certify, when applicable.
- Ensures adherence to the timelines and continuous Quality Assurance processes for the CCOG program.
- Maintains the CCOG program Standard Operation Procedure (SOP) to ensure it is up-to-date and accurate.
- Provides CCOG program training to all pertinent stakeholders including dissemination of any legislative changes, and/or improvements in processes and practices.
- Coordinates the NJ Dreamers program, including outreach, student identification, awards, and certification.
- Maintains the NJ Dreamers program Standard Operation Procedure (SOP) to ensure it is up-to-date and accurate.
- Assists students and parents with completing the Free Application for Federal Student Aid (FAFSA) form. Informs students and prospective students about financial aid eligibility, procedures, verification, and award processes.
- Provides support and resources for students, prospective students, parents, and the general campus community regarding the financial aid process, eligibility, procedures and maintains appropriate supporting documentation. Upon finding discrepancies in any information received, initiates follow-up to ensure accurate awarding.
- Processes student files and prepares award packages in accordance with Federal, State, and Institutional policies.
- Manages confidential information in accordance with FERPA.
- Conducts on-campus and off-campus presentations, workshops, and other forms of outreach.
- Performs other duties as assigned.
MINIMUM QUALIFICATIONS
- Bachelor's Degree
- Four (4) years of financial aid experience
- Ability to work efficiently in a fast-paced work environment, with demonstrated multitasking and problem-solving skills
- Excellent interpersonal, written, and verbal communication skills
- Ability to work independently and within a team-oriented setting, use discretion, and apply judgment
PREFERRED QUALIFICATIONS
- Experience in a higher education setting
- Strong computer skills with knowledge of Microsoft Office, enterprise resource planning tools, and the FAA Access to CPS, COD, and NSLDS
- Thorough knowledge of Federal and New Jersey State financial aid policies
- Working knowledge with NJ FAMS
- Advanced proficiency in Microsoft Excel, including complex formulas, pivot tables, and data visualization
- Ability to work with diverse groups
PHYSICAL REQUIREMENTS
The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly. Additionally, the following physical abilities are required:
- Fingering: Picking, pinching, typing, or otherwise working, primarily with fingers rather than with the whole hand as in handling.
- Hearing 1: Perceiving the nature of sounds at normal speaking levels with or without correction. Ability to receive detailed information through oral communication, and to make the discrimination in sound.
- Speaking: Expressing or exchanging ideas by means of the spoken word including the ability to convey detailed or important spoken instructions to other workers accurately and concisely.
- Talking 1: Expressing or exchanging ideas by means of the spoken word including those activities in which they must convey detailed or important spoken instructions to other workers accurately, loudly, or quickly.
- Visual Acuity 1: Have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; and/or extensive reading.
SUPPLEMENTAL INFORMATION
SCHEDULE: Monday – Friday: 8:30 a.m. to 4:30 p.m. (occasional evenings and Saturdays).
RETIREMENT: Pension Eligible
