Job Summary/Basic Function
This position will be responsible for the coordination and facilitation of all graduate assistantship contracts each semester for all departments within the college and will manage the Optional Practical Training (OPT) process for all international students within the college. This position will also work on special reports assigned by the Dean. Will prepare special correspondence and develop detailed (often complex) reports as assigned by the Dean.
Minimum Qualifications
EDUCATION AND EXPERIENCE REQUIREMENTS
- Education: Bachelor's degree in Business Management, Public Administration, International Relations, Finance, or a related field.
- Experience: 2 years of professional experience in higher education, program coordination, or regulatory compliance.
- Regulatory Knowledge: Ability to interpret and apply complex federal regulations (USCIS/DHS) regarding international student work authorization.
- Technical Proficiency: Advanced skills in MS Office Suite and experience navigating complex databases or Student Information Systems (SIS).
- Soft Skills: Exceptional interpersonal skills and the ability to act as a primary host for formal university events.
- Ethics: Demonstrated ability to handle highly confidential student and personnel records with professional discretion.
Preferred Qualifications
- Experience specifically working with SEVIS or OPT/CPT processing.
- Experience in a Dean's Office or similar academic leadership environment.
- Demonstrated experience in fiscal monitoring and budget reconciliation.
Essential Functions and percent of time
Essential function: Strategic Graduate Assistantship Oversight- 30%
- In collaboration with the Dean and Chairs, establish college-wide policies, eligibility metrics, and process timelines to facilitate the entire graduate assistantship lifecycle from application to agreement completion
Essential function: Federal Immigration & Compliance Coordination (OPT/CPT)- 25%
- Serve as the College's primary subject matter expert for USCIS OPT/CPT programs, providing specialized advisory services to international students and ensuring strict adherence to federal timelines and STEM extension requirements.
Essential function: Collegiate Event Management -25%
- Lead the end-to-end planning, budgeting, and execution of high-profile collegiate ceremonies and honor society events, serving as the primary host and vendor liaison

Essential function: Operational Support & Fiscal Monitoring - 20%
- Provide executive administrative support to the Dean's office and maintain fiscal oversight by monitoring departmental budgets, research expenditures, and travel reporting.
