Job Description
We are seeking an enthusiastic, efficient, and highly organised individual to join the Physics Graduate Office.
This post is open to flexible working though there will be a requirement to work on-site a minimum of three days a week from 10:00-16:00. Beyond this, the exact details of the working arrangements can be discussed once an offer is made.
The post-holder will be a key member of the Physics Graduate Office team, which is responsible for the full cycle of graduate student admission and administration for the sub-departments of Atmospheric, Oceanic and Planetary Physics (AOPP), Atomic and Laser Physics (ALP), Condensed Matter Physics (CMP), and Theoretical Physics (TP).
Each Graduate Administrator has a particular focus on one of these sub-departments, coordinating and managing all aspects of graduate administration. They will work closely with the relevant Director of Graduate studies and provide the Head, and Assistant Head, of Graduate Education with administrative support.
The role is multifaceted, and the administrator should be able to handle many different duties simultaneously while ensuring routine requirements are dealt with accurately and efficiently. A comprehensive knowledge of regulations and procedures must be acquired, necessitating the ability to assimilate and understand written material rapidly. These will need to be applied appropriately and with discretion, and students and staff will need to be advised as necessary. The scope of responsibilities associated with the role is broad, and the post-holder will need to collaborate with a wide range of members within the Department, MPLS Division, and Colleges, requiring the ability to build effective working relationships across teams.
The Graduate Office plays an important role in the Department’s welfare provision for graduates, and the post-holder will need to be sympathetic to students, and be able to advise and signpost to further support as appropriate.
A defining characteristic of the Graduate Office is that while every post holder is linked to a specific sub-department, the office works as a team, assisting each other as the need arises. Given the large number of applicants, students, and staff our office supports, as well as the continuously developing landscape of graduate education and research, we are proud of the office’s versatility and its ability to work as a team in an ever-changing environment.
The successful candidate should have an honours degree or equivalent qualification, or relevant professional experience. Significant experience of working within the Higher Education sector or a comparable environment. Excellent organisational and project management skills, with the ability to competently and independently manage a complex and challenging workload, prioritising multiple tasks, and to meet deadlines. Willingness and ability to work harmoniously as a team member within a culture of academic leadership, as well as to work independently and to take the initiative to find solutions to problems, or to progress key tasks, with the ability to exercise independent judgement.
